Setting up access levels and permissions lets you limit which screens employees can open and what features they use so that they can perform only the Vagaro tasks you want them to do. For example, you may want employees to see and check out their own customers and run only reports that pertain to them and their own business accounts.
You can assign access levels to employees while creating the access level or after you have set them up. Vagaro provides five pre-configured access levels that you can change to suit your business needs, or you can create new ones as needed.
Note
An employee's access level is not connected to the Employee Type, which specifies whether they are an Admin or a Service Provider.
Prerequisites: This feature is available for all Vagaro businesses.
To set up access levels and permissions:
-
Go to Access Levels.
-
On a phone: Go to → → →
-
On the Web, Tablet, or Pay Desk: Go to → → .
-
-
Select New Access Level.
-
Enter the name of the New Access Level and then the Access Level Description.
Tip
In the web version, select Spell Check to make sure there are no spelling mistakes in the description.
-
Optionally, select Add New Employee to assign these permissions to those employees once this access level has been created.
Note
By default, your new access level is already Active. Toggle this option off if you want to assign these permissions later.
-
For each permission, carefully read and select or deselect whether users can View and/or Modify that feature. Note that some features will have more sub-features if they are allowed to be viewed or modified.
For example, you may not want your receptionist to be able to run and view your business reports, prevent service providers from scheduling appointments to others' calendars, or limit an employee's checkout permissions so they can't apply discounts.
-
Select Save.
