Vagaro provides Credit Card Processing for businesses in the United States (US) that accept credit and debit cards as payment from customers. Along with competitive rates and many other benefits, including charging credit cards, storing customers' credit cards on file, setting up recurring membership or package plans, and more.
In the United States, credit card processing fees depend on the amount of business you conduct per month:

For small merchants that make less than $4000 in a month, this feature is free.

For large merchants that make $4000 or more in a month, this feature is $10 US per month.
To help get your business up and running on Vagaro, anyone who signs up for credit card processing can order a free credit card reader or receive a $150 discount on the PayPro Mini or hardware bundle. By redeeming this promotion, you agree to not cancel your Vagaro account or deactivate credit card processing within 12 months of signup, or you will be charged the price of the reader or the discount you received. Vagaro does not accept returns for credit card readers.

This article covers signing up for credit card processing in the United States. You can also sign up for credit card processing in the United Kingdom, Canada, and Australia.
Prerequisites: This feature is available for all Vagaro businesses.
Before you begin the signup process, make sure you have the following handy:

A mobile phone or tablet to complete the application. You will also need to scan a QR code. If your device's camera does not scan QR codes, you'll need to download an app that can.

Owner's legal name exactly as it appears on their Social Security record or IRS filings

Owner's Social Security Number and date of birth

Legal business name and EIN exactly as registered with the IRS. Sole proprietors don't need to enter an EIN and can enter their first and last name as legal business name

A valid, unexpired government-issued photo ID (for example, a driver's license).

Online banking login, or routing and account numbers.

Chiropractors, chiropractic offices, medical services, health practitioners, and med spa businesses will need to take a picture of their medical license to complete their applications.

All customers who sign up for Credit Card Processing can order a free credit card reader.
To begin your application:

Choose your Vagaro hardware and then select Continue, or select I'll Do This Later to skip this step.
After choosing your Vagaro hardware, you must enter some information about your business in the Verify Your Business Information form. If you aren't sure what to enter, the sections below can help clarify. Once you've filled out all your information, select Continue at the bottom of the form.
The "type of merchant" is your business's structure and the legal designation for your business required by the government.

Sole Proprietor (Self-Employed): Someone who owns and runs a business alone; however, if you select Sole Proprietor, this does not mean you have to work alone.

Limited Liability Company (LLC): A business type that protects business owners from personal responsibility for their business's debts and liabilities while providing better tax advantages than a sole proprietor.

Private Corporation (Privately Owned Business): Your business must file Articles of Incorporation to create a business entity with the IRS.

Public Corporation (Publicly Traded on the Stock Market): Your business must file Articles of Incorporation to create a business entity with the IRS.
For all other business types, however, you'll need to register a business name with the IRS. The business name entered here needs to be registered with the IRS. Sole Proprietor businesses do not need to enter a Legal Business Name. Learn more from the Small Business Administration.
If you do not know what your registered Legal Business Name is, please contact the IRS at (800) 829-4922, then press 1, 1, and then 3 in the phone menu.
The Employer Identification Number (EIN) is a unique nine-digit number assigned by the Internal Revenue Service (IRS) to businesses working in the U.S. It's used to identify taxpayers required to file various business tax returns. Learn more from the IRS.
Sole Proprietorship businesses do not require an EIN to submit their application.
Your Business Category is based on the services and products you sell. Select the best industry type that fits your service/class offerings.
If you are a medical office, use FDA-approved medical devices, perform medical services, or accept FSA and HSA payments, you must select Med Spa, Medical Services and Health Practitioners, or Chiropractors, Chiropractic Offices.
Your processing volume determines your merchant size: Small Merchant (less than $4000) or Large Merchant (more than $4000). These two merchant account types have different processing rates and fees. You should review our Credit Card Processing Fees and Rates before continuing.
After you fill out your business information, the system will begin the Plaid verification process. Vagaro has partnered with Plaid to provide your business better security and a more streamlined signup process.
To complete the Plaid Verification Process:

Enter your basic information: Phone number, Full name, Date of birth, Home address, and Social Security Number. Once you've entered your information, applicants signing up on a computer will see a QR code on their screen. Open your phone's camera app, point your camera at the QR code, and select the link that appears to continue the signup process on your device. If you're having trouble, you can Send link to phone. Do NOT close this page as you'll need to come back later.

Select a document type and take a picture of the front and back of your ID. Plaid will then begin verifying your documents. Once verified, Plaid will request a Selfie Check.

Take a selfie with your device. Plaid will verify your picture.
Log in to your online banking through Plaid. This helps verify and set up your merchant account for bank deposits and prevent failed deposits and application denials. You have two options to connect your bank account:

Login to Bank with Plaid: Search for your bank and log in through Plaid to easily verify your banking details.

Manually Enter Bank Details: Enter your banking account and routing information manually.
The following online-only banks are not supported for deposits with Vagaro. If you add any of the banks below, you will not receive your funds. If you already set up deposits using one of the banks below, you must change the bank in your Merchant Account.
After linking your banking information to Vagaro, you may need to complete some additional steps

Submit Medical License:
MedSpas must take a picture or upload their medical license to complete the application. If you selected Med Spa in Business Category, you will then be required to upload your medical license after linking your bank details.

Order products
Order the hardware you selected at the beginning of the application. You can select Back to Hardware to modify, add, or remove items from your cart. Keep in mind that you can order your free credit card reader at any time; this offer does not expire.
Both commission-based and paid employees do not need their own merchant account, but self-employed or booth renter employees are encouraged to sign up on their own.
Important
Employees must sign in to their Vagaro account (not the business owner's) to apply. If you sign up for credit card processing while logged in as the business owner, the application will be submitted under the business owner.
