Welcome to Vagaro Merchant Services. Now that your credit card processing account is active, this guide covers everything you need to start taking payments, get paid faster, and make the most of your new account.
As a Vagaro Merchant Services customer, you have access to the following features. Some are included with your account, while others are available as add-ons.
Requiring a card on file when customers book lets you collect deposits, enforce cancellation policies, and charge no-show fees without any awkward conversations at the desk. All three features work together and share the same setup path: Credit Card Processing and the Online Shopping Cart.

Card on file — Save a customer's card when they book online or from their profile. You can use it to speed up checkout and charge fees when needed. Each customer profile supports one card on file.

Deposits — Require customers to pay a deposit when they book a service online. The remaining balance is collected at checkout.

No-show and cancellation fees — Set a fee amount and a cut-off window. Customers who cancel after the window or skip the appointment are automatically charged to their card on file.

Buy Now, Pay Later with Affirm is automatically enabled when you activate credit card processing. Customers can choose Affirm at checkout to split their payment into installments, while you get paid the full amount right away. Affirm appears as a payment option on your Vagaro listing page and at in-house checkout. You can set a minimum purchase amount to control when it shows up as an option.

Buy Now, Pay Later with Affirm is available for US businesses only. Funds from Affirm transactions are typically deposited within three to five business days.

The Online Shopping Cart lets you sell services, products, memberships, packages, and gift cards directly from your Vagaro listing page and business website. It also unlocks the Card Updater feature, which automatically renews expired cards on file to keep recurring payments running smoothly. The Online Shopping Cart is available as an add-on for an additional monthly cost and requires credit card processing.

With Instant Payout, you can transfer funds to your bank account on demand instead of waiting for your next batch deposit. A same-day deposit lets you move money at any point during the day. An instant payout pushes funds to your bank within minutes, any time.

Deposit between $25 and $2,500 per payout.

Initiate up to four instant payouts per day. Same-day deposits count toward this limit.

The fee is 1.75% per deposit, in addition to standard processing fees.
To use Instant Payout, your business must be located in the United States, have an active merchant account, have processed at least 35 credit card transactions totaling $2,500 or more, and use a financial institution that supports Real-Time Payments or FedNow.

Understanding how your merchant account works helps you stay on top of your deposits, fees, and day-to-day payment settings.
Your merchant account is where you can view your Merchant ID, banking information, application date, and connected hardware. You can also update your business details and banking information here. If your business sells products in addition to services, you can set up a separate retail merchant account to route product sales to a different bank account from your service revenue.

A batch is a group of credit card transactions that Vagaro processes together and sends to your bank at a set time each day. All transactions completed before the batch cut-off time are deposited within one business day, though the exact timing depends on your bank. Vagaro offers two batch cut-off times. You can change your batch schedule in your merchant account settings if a different time works better for your business. Keep in mind that bank holidays may delay deposits by one business day.

You can accept credit and debit cards at checkout using a card on file, by manually entering a customer's card details, or by using a Vagaro payment device. Funds are deposited into your bank account within one to two business days after the transaction, minus processing fees. Vagaro supports a variety of payment methods at checkout, including:

Follow the setup guide for the hardware you received. If you are using Tap to Pay on your phone, you do not need any additional hardware to start accepting payments.
Tap to Pay lets you accept contactless credit and debit cards, Apple Pay, Google Pay, and Samsung Pay directly on your phone. No card reader needed. Setup takes only a few minutes.
PayPro Go is a compact, portable card reader for accepting credit and debit card payments on the go.
PayPro Mini is a standalone portable device that can also pair with a PayPro unit or computer to provide a customer-facing payment screen.
PayPro is Vagaro's full point-of-sale system. The tilting screen lets you check out customers and then flip the display to face them for payment. PayPro supports card readers, receipt printers, barcode scanners, and cash drawers through the included hub.
The Pay Desk runs Vagaro software directly on a dedicated POS system. Use the Hardware Setup Guide built into the Vagaro Pro app to connect your receipt printer, EMV reader, barcode scanner, and cash drawer.
Businesses outside the United States use either the WisePad 3 Mobile or the WisePOS E to accept credit and debit card payments.
