Set Up Same-Day and Instant Payouts – Vagaro Support

Need quicker access to your money? With instant and same-day payouts, you can transfer funds to your bank account on your schedule instead of waiting for the next batch deposit. That means no more weekend delays. A same-day deposit lets you transfer funds to your bank account at any time during the day, while an instant payout pushes those funds through within minutes, anytime.

You can deposit between $25–$2,500 with each payout and initiate one instant payout per day.
You can’t use Instant Payout and same-day deposit on the same day. Starting one will automatically disable the other.
Instant and same-day payouts have an additional fee of 1.75% per deposit after the base processing fees.
Business owners and employees who meet the prerequisites can set up and manage Instant Payout. The available deposit balance is calculated separately for each merchant account.

Note

If your same-day deposit is over the $2,500 limit, the remaining funds will be sent the following business day, like a regular deposit following the midnight batch schedule.

Prerequisites

Before you start transferring your funds, make sure you meet the following requirements:

Your business must be located in the United States.
You must have a merchant account.
You must process at least 35 credit card transactions totaling $2,500 or more.
Your financial institution must either support Real-Time Payments or FedNow. Click the links below to see if your financial institution supports it:

See Available Funds

You can view your available funds from your Merchant Account, Deposit Report, and Notification Panel Bell Icon . The balance shown includes all transactions made throughout the day, as well as any rent collection payments, after deducting merchant processing fees, Vagaro Capital payments, and customer refunds. Buy Now, Pay Later transactions will not appear in your balance and will be deposited separately.

The Deposit Balance shown in your account includes funds that have been processed and are ready for transfer. It will be set to zero at the batch time (3 PM PST or 12 AM PST), meaning that your funds have been processed and are on the way! There is also a two-hour processing delay for new credit card transactions. For example, if your balance shows $2,000 at 5:00 PM and you process another $100 at 5:30 PM, that $100 won’t appear in your balance until around 7:30 PM. Only funds shown in your balance can be deposited instantly.

To see available funds:

Go to your Merchant Account settings:
- Vagaro Pro App: Select More → Credit Card Processing.
- Computer: In the top-right corner, select your profile icon, then select Merchant Accounts.
Optionally, if the business has multiple Merchant Accounts, you can change the selected account in the Merchant Account list.

Your Deposit Balance appears. You can also see your next Scheduled Deposit day or select the Info chip to see all transactions included in your balance.

Set Up Instant Payouts

From your Merchant Account settings, you can initiate an instant deposit whenever you need the funds. The fee for instant deposits is 1.75% per deposit, and Instant Payouts are limited to $2,500 per day, with a minimum limit of $25. Any remaining funds are grouped with the next batch time.

Note

Instant Payouts may take up to 30 minutes to transfer to your bank account.

To initiate an instant deposit:

Go to your Merchant Account settings:
- Vagaro Pro App: Select More → Credit Card Processing.
- Computer: In the top-right corner, select your profile icon, then select Merchant Accounts.
Optionally, if the business has multiple Merchant Accounts, you can change the selected account in the Merchant Account list.
In the Get Your Money Now box, select Instant Payout. The Instant Payout popup will appear.
Optionally, change the amount you want to deposit.
Select Transfer. The system will begin processing your transfer.
Select Done when the transfer is complete. The details of this deposit will be reported in your Deposits report and will be grouped with your regular deposits.

Schedule Same-Day Deposits

Schedule same-day deposits to get your money the same day. Any days you don't select for a same-day deposit will follow the midnight batch schedule. The fee for same-day deposits is 1.75% per deposit, and is limited to $2,500 per day, with a minimum limit of $25. Any remaining funds are grouped with the next batch time following the midnight batch schedule. You won’t be able to perform any additional instant payouts after your same-day deposit is batched.

To schedule a same-day deposit:

Go to your Merchant Account settings:
- Vagaro Pro App: Select More → Credit Card Processing.
- Computer: In the top-right corner, select your profile icon, then select Merchant Accounts.
Optionally, if the business has multiple merchant accounts, you can change the selected account in the Merchant Account list.
Scroll down to Deposit Settings and select the Same-Day Deposit option.
Toggle the Day of the Week and set the Close of Day (time to receive funds). The Transfer Speed will appear on the deposit day and time.

Tip

To ensure you receive all the funds from your entire workday, set a two-hour buffer after your last checkout time. This gives the system enough time to capture and include all transactions in your payout.
Select Save.

It will take one business day for the new deposit schedule to go into effect.
