Maintaining your business's inventory is important to know if you're running low or out of stock of a product. When your business needs to lower products, reduce the amount of multiple products in your inventory. Lower that product's quantity in your inventory outside of customer purchases so you have a complete picture of what you currently have in stock and what you need to reorder. For your records, you can categorize removed items as lost, damaged, expired, or used for business purposes such as customer appointments. You can also enter any additional comments about why the amount was subtracted. These changes to your inventory can be tracked in the Product History report.
Prerequisites: This feature is available for all Vagaro businesses, and you must already have products set up in your inventory.
Decrease the quantity of a single product.
To decrease the quantity of a selected product:

Go to Inventory Management:

On the Phone: Go to → → .

On the Pay Desk or PayPro: At the bottom of the screen, select Inventory.

Select the product to be edited. If you want to decrease the stock of a single Variant, select the Right-Arrow > next to a product to view its Variants.

In the top-right corner of the screen, select the button, then select Subtract.
Note
On the Pay Desk or PayPro, select the Action menu in the middle of the screen.

In Subtract Inventory, enter some information about why you are reducing the stock:

Date: Select the date when the product was subtracted from your inventory. By default, today's date is selected.

Reason: Select a reason in the list.

Comment: Enter an optional comment about why the amount was subtracted.

Select the Subtract - button to remove stock from your inventory. If this product has Variants, you can subtract stock from all Variants at once.

Select Save. Changes to the product's stock are added to Product History.
To decrease the quantity of one or more selected products:

Go to Inventory Management:

On the Web Version: Go to → → .

On a Tablet: At the bottom of the screen, select Inventory.

Next to the product to be changed, select the Action menu, then select Subtract. If you want to increase the stock of an individual Variant, select the Right-Arrow > next to a product to view its variants.

Select a Date for when you lowered the product's stock.

Enter the Subtract Quantity for this product. If this product has Variants, you can subtract quantity for multiple Variants at the same time or select the X button to remove them.

Select a Reason why the stock is being removed, then enter an optional comment.

Select Save. Changes to the product's stock are added to Product History.
Quickly subtract your stock of multiple items from your inventory by scanning or entering their barcodes.
To decrease the stock for multiple products:

Go to Inventory Management:

On the Phone: Go to → → .

On the Pay Desk or PayPro: At the bottom of the screen, select Inventory.

In the top-right corner of the screen, select the Action menu, then Subtract. The Scan Subtract Inventory screen displays.
Note
On the Pay Desk or PayPro, select the Action menu in the middle of the screen.

Select the Products to be subtracted from your inventory in any of the following ways:

Scan the products' barcodes or IDs.

Select + Select Products Manually to pick them from your inventory, then select Select Products.

Update the Quantity for each product. If you need to remove the product, select the X beside the product name.

Select Next.

Provide the following information about where items are being subtracted:
-
Date: Select the date when the product was subtracted from your inventory. By default, today's date is selected.

Select the Reason why these items' quantities are being subtracted. You'll have to subtract another group of products if you're reducing the quantity for a different reason.

Optionally, enter a Comment about why the items are being subtracted from your inventory.

Review the products and their quantities to be subtracted.

Select Save. Changes to the product's stock are added to Product History.
To decrease the stock for multiple products:

Go to Inventory Management:

On the Web: Go to → → .

On a Tablet or Pay Desk: At the bottom of the screen, select .

In the Edit list, select Subtract Quantity. The Subtract Quantity popup displays.

In the popup, add products and enter the reason why the stock is being removed:

Select the Date when the product was removed from your inventory. By default, today's date is selected.

Select the products to be removed:
-
Enter or scan the products' barcodes or IDs.

Choose from your product list by selecting Select Products Manually, choosing the products to be added, and then selecting Add Product.

Select the Reason why these items' quantities are being subtracted. You'll have to subtract another group of products if you're reducing the quantity for a different reason.

Optionally, enter a Comment about why the items are being subtracted from your inventory.

Update the Quantity for each product. If you need to remove the product, select the X beside the product name.

Select Save. Changes to the product's stock are added to Product History.
Mass decrease the quantity of all or some of your products.
To decrease the quantity of selected brands or product types:

Go to Inventory Management:

On the Phone: Go to → → .
-
On the Pay Desk or PayPro: At the bottom of the screen, select Inventory.

Select the Action button in the top-right corner, then select Mass Edit, then select Total Quantity.

On the Pay Desk or PayPro, select the Action menu in the middle of the screen.

In the Total Quantity screen:

Select the Brand and Product Category to be updated.

In the Modify Quantity list, select Decrease Quantity, and then enter how much of each product is being removed from your inventory.

Select Save.

Select Save. Changes to the product's stock are added to Product History.
To decrease the quantity of selected brands or product types:

Go to Inventory Management:

On the Web: Go to → → .

On a Tablet or Pay Desk: At the bottom of the screen, select .

In the Edit list, select Mass Edit, and then select Total Quantity.

In the Mass Edit Total Quantity popup, select the Brand(s) and Product Category to be updated.

In the Quantity list, select Decrease Quantity by, then enter how many of those products are being removed from your inventory.

Select a Reason why the stock is being removed, then enter an optional comment.

Select the Date you're updating your product.
-
Select Apply. Changes to the product's stock are added to Product History.
