The Deposits report shows a breakdown of all credit card transactions deposited into your merchant account. You can see gross sales, total fees deducted, total refunds and chargebacks, and the net deposit you earned for a specific date range.

Prerequisites: This feature requires Credit Card Processing.
Running the Deposits report displays a summary of all deposits within the specified date range, along with a more detailed view of each deposit day.
The report summary shows the total sales, deductions, and the net deposit sent to your bank account.
Below the summary, each deposit appears on its own card with the deposit details of the individual deposits made during the selected date range.
To run the Deposits report:

Select → → . The Filters screen appears.

On the Filters screen for the report, set any of the following, then select Run Deposit History:

Date Range: Show deposits based on the deposit date.

Merchant: Show the deposits for a specific merchant account.

Payment Type: Show deposits that contain a specific payment type, such as ACH, Credit Card, and Buy Now, Pay Later.
Tip
You can select Filters
in the top-right corner to make any changes to your filters after running the report.

, select PDF or Excel, and then choose to Export Daily Summary or Export Each Transaction.

Gross Sales: The total amount of sales before any fees are deducted.

Fees: The total amount of processing fees deducted from the transactions.

Refunds: The total amount of refunds processed during the selected period.

Chargebacks: The total amount deducted from your account due to customer disputes.

Net Deposit: The total amount deposited into your bank account, equal to gross sales minus fees, refunds, and chargebacks. This matches the amount shown on your bank statement.
The deposit summary shows the totals for each deposit by transaction type for each date.

Date: The date the transaction was deposited into the merchant’s bank account.

Swiped / # of Swiped: The total amount earned from swiped transactions and the number of swiped transactions.

Typed / # of Typed: The total amount earned from typed transactions and the number of typed transactions.

ACH / # of ACH (US only): The total amount and number of rent collection payments made.

Buy Now, Pay Later / # Of Pay Later: The total amount and number of Buy Now, Pay Later transactions.

Total: The total revenue from all transactions.

Type Fee / Swiped Fee: The total amount of fees charged for swiped and typed transactions for each transaction, excluding the per-transaction fee

ACH Fee and Pay Later Fee (US only): The total amount of fees taken for rent collection and Buy Now, Pay Later.

Transaction Fee: The total per-transaction fees charged based on the merchant’s rate, which excludes the percentage rate.

Total Fees: The total amount of all fees that were deducted from this deposit.
Monthly Fee (US only): The $10 monthly fee for the Large Merchant plan.
FANF Fee (US only): The Fixed Acquirer Network Fee that Visa charges merchants based on the account size or transaction type. Vagaro waives this fee for Small Merchant accounts.

Refunds / # Of Refunds # Of Refunds: The total amount and number of refunds.

Chargebacks / # Of Chargebacks: The total amount and number of chargebacks.

Net Deposit: The amount deposited into the merchant's bank account.
To drill through the report:

From the Deposits reports, select one of the deposit cards to view each transaction included in the deposit.
You can then view information such as when each transaction was processed and any associated fees.
Tip
To download and save the details of this deposit, select the Action
menu in the top-right corner, then select Print or Export PDF.

Export PDF: Save a digital copy of this report as a PDF.

Transaction Date: The date the card transaction was processed.
-
Deposit Date: The date the transaction was deposited into the merchant’s bank account.
-
Tran Num: The deposit transaction number. You can use this number to find this transaction on the Transaction List.

Tran Type: The transaction type, such as credit card charge (+CC) or credit card refunded (-CC Refund) or Instant Payout (-Instant Payout).

Swiped/Typed: What type of credit card transaction was used at checkout:
-
(S) Swiped: The customer swiped their card at checkout.
-
(T) Typed: The customer’s card information was manually entered, charged from a card on file, or processed online. This also includes auto-renewal payments for memberships and packages.

(N) NFC: The customer tapped their card or digital wallet on a card reader or PayPro Mini.
-
(C) Chip: The customer inserted their card into a card reader or PayPro Mini.

(P) Phone: The customer paid through Tap-to-Phone.

Name: The customer name and/or card type used.
-
Last 4 of Acct.: The last four digits of the customer's credit card.

Gross: The total amount charged to the card.
-
Disc Fee: The processing fee charged to the merchant.
-
Per Tran: The per-transaction fee charged to the merchant.
-
Refund: The amount refunded to the customer's card.
-
Fee: The total fees charged to the merchant, including the Disc Fee and Per Tran fees.

Net Amount: The transaction amount after fees are deducted.
You can view your available funds from your Merchant Account, Deposits Report, and Notification Panel . The balance shown includes all transactions made throughout the day, as well as any rent collection payments, after deducting merchant processing fees, Vagaro Capital payments, and customer refunds. Buy Now, Pay Later transactions will not appear in your balance and will be deposited separately.
The Deposit Balance shown in your account includes funds that have been processed and are ready for transfer. It will be set to zero at the batch time (3 PM PST or 12 AM PST), meaning that your funds have been processed and are on the way! There is also a two-hour processing delay for new credit card transactions. For example, if your balance shows $2,000 at 5:00 PM and you process another $100 at 5:30 PM, that $100 won’t appear in your balance until around 7:30 PM. Only funds shown in your balance can be deposited instantly.
To see available funds:

Go to your Merchant Account settings:

Vagaro Pro App: Select → .

Computer: In the top-right corner, select your profile icon, then select Merchant Accounts.

Optionally, if the business has multiple Merchant Accounts, you can change the selected account in the Merchant Account list.
Your Deposit Balance appears. You can also see your next Scheduled Deposit day or select the Info chip to see all transactions included in your balance.
