In simplified terms, a "batch" is a group of processes, things, or items produced simultaneously, like baking a batch of cookies. When your transactions are "batched" into one deposit, the total revenue generated during the business day is grouped into one sum (minus credit card processing rates and fees) and deposited into your bank account.
The default batch time set for businesses is 3 PM Pacific Time (UTC-8). If this time doesn't work for your business, you can change your batch time to 12 AM Pacific Time (UTC-8).
Note
If your business account has multiple merchant accounts, you must change the batch times for all accounts one by one. Changing the batch time for once will only update the merchant account you selected.
Prerequisites: This feature requires Credit Card Processing and is only available in the United States.
The batch schedule for your account may differ depending on whether your account was upgraded with the New Updates to Vagaro Payments. The day you receive your funds depends on which schedule you're on.
-
Default Deposit Schedule: You will receive funds two business days after the transactions are batched.
-
Upgraded Merchant's Deposit Schedule: You will receive funds one business day after the transactions are batched.
Upgraded customers received a New Updates to Vagaro Payments popup and accepted the update.
If you're unsure if you upgraded your account, check your Merchant Info. To see your Merchant Info:
-
Go to your Merchant Account settings:
-
On the Vagaro Pro App: Go to → .
-
On the Web Version: In the top-right corner, select your profile icon, then select Merchant Accounts.
-
-
Expand the Merchant list, then select the merchant account to be changed.
-
Select the Merchant Info tab.
-
Check if you've been upgraded:
-
If Merchant ID starts with "BA," you've been upgraded to the new batch schedule.
-
If Merchant ID starts with "Propay," you haven't been upgraded. This upgrade is still being rolled out to businesses.
-
If you change your batch cut-off time to 12 AM PST, you will receive deposits two business days after the transactions are batched.

What would be the benefit of changing your batch time to 12am?
Hi, Maria. Thank you for your question.
Changing your batch time to 12am PT allows you to include an entire day's transactions in the batch. If you choose to batch at 3pm, then transactions processed until your closing time after would be batched the next day.
Please let us know if you have any other questions!
Thank you Kimberly!
So it’s more of a reporting thing for some businesses that want/need to have full days in one batch/report?
No problem, Maria!
It is also a matter of preference if you don't mind waiting a little bit longer for your money to reach your business account. The transactions processed after 3pm will be included in the next day's batch instead of all together at 12am.
