PayPro is Vagaro's point-of-sale (POS) hardware system, in addition to or replacing Vagaro on your phone, tablet, or computer. The tilting screen allows you to check out customers and add items to the cart. You can then flip it over to face your customers for payment. A provided PayPro hub allows you to plug in four USB devices, an ethernet cable, and a cash drawer and/or receipt printer. For the best experience, we recommend using PayPro with the Vagaro credit card reader and wireless receipt printer, both of which are available in the Vagaro Online Store.
Optionally, for US businesses, PayPro can be connected with PayPro Mini to provide a secondary screen for customers and function as a portable POS device around your facility.
Prerequisites: This feature requires PayPro and an active Internet connection.
Note
Only the black version of PayPro is available for shipping from the Vagaro Online Store. PayPro Mini and the red edition of PayPro will be available in October 2024.
At present, PayPro Mini can only be connected to PayPro or used as a standalone device. You'll be able to connect PayPro Mini to a computer or laptop for checkout in the near future.
The PayPro hub is included only with the main PayPro unit and is not sold separately. It supports up to four USB peripherals and provides an ethernet port for a hardwired Internet connection and an RJ12 data port.
You can plug in the following Vagaro hardware into the PayPro hub, all of which can be purchased from the Vagaro Online Store:

PayPro includes the following hardware in the box:

To set up PayPro:
-
Lay PayPro on its side, then plug the USB-C end of the PayPro hub into one of the ports under the base of the PayPro unit.

Press the cable firmly into the grooves and through one of the notches on the side of the base, depending on which side you plan to plug into the PayPro unit. This will keep your PayPro level and prevent the device from resting on the cable.

Turn the PayPro unit back upright, then plug the end of the AC adapter into the PayPro hub.

Plug the power cable into the AC adapter.

Plug the power cable into a power outlet.
When you power on your PayPro device for the first time, the Vagaro Setup Wizard will guide you through the initial setup to ensure Vagaro Pro functions correctly and can connect to the Internet.
To run the Vagaro Setup Wizard:

Press and hold the power button on the device until it powers on.

On the Welcome screen, select Start.

Select a language, then Next.
-
Select a timezone, then select Next.
Note
If PayPro is connected to the business's router with an ethernet cable plugged in, Vagaro Pro will automatically download any necessary updates and then prompt you to begin onboarding.

To connect to the internet, select a network, then select Next.
-
If required, enter the network’s Password, then select Connect.
-
After the device has connected to the network, select Next.
When PayPro has connected to your Wi-Fi network, select Next.
The device will begin downloading and installing the latest version of Vagaro Pro.
When the Setup Wizard is complete, the Welcome screen is displayed.

After configuring your PayPro and installing the Vagaro Pro app, the Onboarding Wizard will show you how to set up and plug in your devices. If you don’t have some of the PayPro accessories on hand or would rather plug them in later, you can skip those steps and plug them in later. All Vagaro hardware and accessories are plug-and-play and do not require additional setup or installation.
To onboard PayPro:

On the welcome screen, select Begin Onboarding.

Follow the prompts for each Vagaro hardware, or select Skip for now to plug them in later.
Connect the barcode scanner and test that it is connected to your device.
To connect the barcode scanner:
-
Plug the scanner’s USB cable into any USB port on the PayPro hub, then select Next.

Test the barcode reader by scanning the barcode shown onscreen. If the test is successful, the screen will automatically go to the receipt printer steps.
Connect and test that the receipt printer can communicate with Vagaro Pro.

Plug the printer’s USB-C end of the cable into the receipt printer and the USB side of the cable into the PayPro hub, then plug the printer’s power cord into the DC port and the other end into a power outlet, then select Next.

Load paper into the receipt printer, then select Next.

Select Test to print a test receipt.

If a receipt was printed, select Yes. The screen will automatically go to the cash drawer steps.

If a test receipt wasn’t printed, select No. Make sure that the receipt printer is powered on, that all cables are fully inserted, and that the receipt paper is inserted correctly, then select Test again, or select Skip for now to try again later.

Connect and test that Vagaro Pro can communicate with the cash register.

Plug in the RJ12 cable into the port under the cash register and the other end into the receipt printer, then select Next.

Select OK to test that Vagaro Pro can communicate with the register.

If the register drawer opened:
-
Select Yes.
-
Select Next in the confirmation. The screen will automatically go to the card reader steps.
If the drawer didn't open, make sure the receipt printer is powered on, all cables are fully plugged in, and the paper is loaded correctly, then select Test again.

Connect and check that Vagaro Pro can communicate with your EMV card reader.

Select EMV Reader as the payment accessory, then select Next.

Power on your EMV reader.

If you have an EMV dock (sold separately), slide the EMV reader into the dock then plug the USB cable into the PayPro hub.

Select Next.
If the test is successful, Vagaro will finish the onboarding process.
Note
If Vagaro cannot connect to your card reader, make sure the card reader is fully inserted into the dock and plugged in correctly. Contact Vagaro Support if you need assistance.
When PayPro and your Vagaro hardware have all been plugged in and tested, PayPro will display the following screens:
