Manage your Vagaro calendar at a glance with the Calendar Icons and Appointment Status Colors.
Note
On Vagaro Pro, you can hover over appointments on the Calendar to view details such as the service provider, service type, client contact information, and more. It will also show you if that client has any other appointments for that day.
Below are the descriptions of each calendar icon and appointment status.
Calendar Icon Legend

Recurring Appointment An appointment that is set to repeat for future visits. |

Stopped Recurring Appointment An appointment that was part of a repeated series that has been edited. |

Bundle This is shown when a customer books a Service Bundle. |

House Call/Mobile An appointment that is performed at the customer’s home or another off-site location. |

Note Indicates that there is a customer note or that the client left a note while booking. |

Appointment Status Legend

Requested After a customer has requested an appointment, it stays in the requested status until it is approved or denied. |

Accepted A requested appointment has been approved by the business and added to the calendar. If Require Acceptance for Online Booking is off for this type of appointment, it will be accepted without approval from the business. |

Awaiting Confirmation Based on the settings of your business, your clients will receive an appointment confirmation message within a certain number of hours or days before their appointment. This status shows that the confirmation request has been sent to the client and is awaiting their response. |

Confirmed Once a client has responded that they will be there for their appointment, the status of their appointment will change to confirmed. |

Show This status can be marked by the business to let a service provider know that a client arrived for their appointment. |

No Show The business manually selects this status on the calendar screen. This status color appears when a customer has not shown up for an appointment. |

Ready to Start The business uses this status to notify clients who used the Contactless Check-in feature that they are ready for them and that they may enter the business for their appointment. |

In Progress This status is used by the business to mark that the service has begun. |

Complete Once the appointment is completed, the business can use this status to show that the service has been performed and the appointment has been completed. |

Personal Task When you book a Personal Task that does not prevent customers from booking online during that time, it appears on the calendar as a light beige. |

Personal Task Blocked A Personal Task that has been booked and blocks customers from booking online during this time frame will show on the calendar as beige. |

What is the 'D' icon mean on the calendar view?
Can I denote different colors to different services in the calendar?
Hi Jasmine:
No, you cannot assign colors to individual services, just to groups of services, like "Barbering", "Extensions", etc.
In the screen above, you can see colors applied to service groups. "Natural Haircuts" does not have a color assigned and "Afro Haircut" doesn't have an option for color assignment. Once you've assigned a color to a group, you can change or remove it by clicking the "more" menu (3-dots) for the group and then Edit.
Leyla: Sorry I didn't answer this sooner! The "D" icon on an appointment indicates that the customer has paid a deposit.
If you look in the detail of an appointment with the "D" icon, you'll see the record of the deposit.
What happened to the complete option. it is no longer showing for me
Hi Angela: The "Checkout" button at the bottom of the Appointment menu USED to say "Service Complete (Checkout)." Once you checkout the appointment, the status changes to Complete (Checked Out) and you have an option to undo the checkout.
I have memberships activated for my clients and have active memberships. I do not get an M on my calendar when they have booked or I have booked them. Why?
You know what, Scott? I'm not seeing it, either! I've got a question out to our support team to see if they can clarify for me. I'll check back here when I have more information.
OK, Scott... here's an explanation: These icons are meant to indicate an appointment that is prepaid using a membership or package. Just booking an appt or checking one out using a membership or package will not result in that icon appearing.
What does a G in the upper left of a booked client on my calendar mean?
Hi Lindsey... Thanks for leaving a comment! Vagaro is rolling out a feature for some businesses where customers can book directly from Google Maps. The icon means that the customer booked with Google Maps. If you have any more questions, feel free to reach out.

What do the star like icons mean?
Hi Kristi! The "sparkle" icon indicates that cleanup time has been added to an appointment or class. If you hover over the calendar entry, you'll see the cleanup time listed:

When you hover the cursor over NR on the calendar it says New Returning instead of New Request.......confusing to say the least to understand what New returning is......
