Set up your calendar to work the way you do. Choose a default view, organize service providers in your preferred order, and customize how your calendar looks at a glance.
Prerequisites: This feature is available for all Vagaro businesses.
In Vagaro, you can access your Calendar Configuration settings from two places: within your Vagaro business settings and from the Calendar screen.
To go to Calendar Configuration:
On a Phone
Go to → → → .
On a Computer, Tablet, PayPro, or Pay Desk
Go to → → .
Going to Calendar Configuration from business settings allows you to make changes for your entire business. Any changes you make to this setting will apply to all devices logged in to your business, except for the Week View Starting Day and Default View at Login. Changing these two settings will not affect any devices on the Vagaro Pro app.
To go to Calendar Configuration:
On a Phone: Go to the Calendar , then in the top right corner, select → .
On a Computer, Tablet, PayPro, or Pay Desk
Go to the Calendar , then in the top right corner, select Calendar Settings
.
When you open Calendar Configuration from the calendar, you can update certain calendar settings, but not all of them. On the Vagaro Pro app, only Week View Starting Day and Default View at Login are available. These two settings apply only to the device you’re using, so changes won’t affect other devices logged into your business.
When you open your Calendar Configuration settings, you will see the following options:
-
Week View Starting Day
Choose which day is shown first on the Week view. If you are closed on Mondays, you can set Tuesday as the first day, or you can choose Today to always display the current day first. This setting can be changed from the Calendar or your business settings.
On the Vagaro Pro app, changing this setting from the Calendar affects only that device. In all other cases, it applies across your logged-in devices, except for a phone that has its own custom setting.
-
Default View at Login
Choose the calendar view you want to see when you log in, such as Day, Week, Month, or Agenda. This view is used only at login. After that, your calendar opens to the last view you were using. This setting can be changed from the Calendar or your business settings.
If updated on the Vagaro Pro app from the Calendar, it affects only that device. In all other cases, it applies across your logged-in devices, except for devices with custom settings.
-
Calendar Resolution
Control the time interval between each time slot, with options of 5, 10, or 15 minutes.
On the Vagaro Pro app, this setting can only be changed in business settings, and you must log out and back in for the changes to take effect.
-
Calendar Line Spacing (Computer Only)
Control the spacing between time slots on your calendar.
-
Show Current Time (Computer Only)
Show a red line marking the current time on the calendar.
-
Display Resource on Calendar
Show the names of resources assigned to classes or appointments on the calendar.
On the Vagaro Pro app, this setting can only be changed in business settings, and you must log out and back in for the changes to take effect.
-
Track Customer Retention
Track how many new and returning customers visit your business by monitoring retention by appointment type. This data appears in the Customer Retention report, which also breaks down retention rates by appointment type and employee.
On the Vagaro Pro app, this setting can only be changed in business settings, and you must log out and back in for the changes to take effect.
-
Label All Calendar Lines (Computer Only)
Display a time label for each time slot on the calendar. For example, if your Calendar Resolution is set to five minutes, times appear in five-minute increments. This setting can be changed only in business settings.
-
Service Provider Order on Calendar
Change the order in which employees appear on the calendar. This setting can be updated only in business settings.
If you are using the Vagaro Pro app, you must log out and log back in for the change to take effect.

Hi Nate, I'm going to create a ticket for you. A support representative should be contact you soon.
Thanks,
Jamie
How do I make a 60 day filing calendar? I’d like to only have 8 weeks of my schedule open at a time. Is it possible to do this for just myself in a 4 person salon? Thanks.
Hi Becky,
You can limit how far in advance your customers can book through the Online Appointment Rules. You can set this limit to 60 days so customers can only book within that 60-day period. This would affect all your employees, and currently, we don't have the option to limit booking for just one employee.
Thank you,
Jamie
Is there a way to automatically block off federal holidays or at the very least a way to block off a single specific day for everyone instead of having to do it for each service provider?
Hi, Brittany. This feature currently does not exist. Feel free to visit our Feature Requests page to upvote it and suggest any other ideas you have to improve Vagaro. https://feedback.vagaro.com/forums/915991-feature-requests
Is there a way to only allow certain appointments over others? For example, this week I have 2 spots left open. I want to schedule facials over massages. Is there a way to only allow facials to be booked?
Hi, Erica. There is currently isn't a feature that allows you to prioritize one service over another. Feel free to create a feature request
However, we will be releasing a new feature this summer that will allow you to schedule services to be performed only during specific times of the day that you set up. Keep an eye on our Updates and Announcements page for details!
I was wondering if I can create a 4 week rolling calendar. I have 2 days off each week and they change according
to the week in a 4 week pattern
Hi Karen, currently there isn't a way to do this on Vagaro. You may need to set up personal tasks as a workaround, but it will be a manual process for you.
Thank you,
Jamie
