Add a Form to Email or Text Marketing Messages

Use the Email & Text Marketing feature to send forms for your customers to fill out. The different campaign types you can select allow for a variety of different use cases for sending forms. For example, you can use the before-visit campaign type to send customers the required forms before their appointment to streamline the check-in process at your business. You could also use the after-visit campaign type to send a feedback form to your customers after they finish their appointment.

Prerequisites: This feature requires at least one Form template created in your account and an Email or Text Marketing plan.

Add a Form to a Text Campaign

Send a direct link via text to your customers via a text message.

On a Phone

To add a form to a text campaign:

  1. Select More This is an icon used to go to the More initial navigation step on the Vagaro website and the Vagaro Pro app. → Email & Text Marketing → Create Campaign.

  2. Under Select Delivery Method, select Text.

  3. Enter a Text Campaign Name. This name is used to label your campaign and is not shown to customers.

  4. Finish configuring your campaign by entering a campaign name, selecting one of the following campaign types, and choosing who the campaign will send to:

    After setting up your campaign settings, you can begin composing your message.

  5. Enter the text message, then insert a link to your form:

    1. While in the text box, select Insert Link.

    2. Select Forms, then choose the form template to be included in the text.

    A link to your form will be included in the text campaign.

  6. Finish writing your text campaign, then select Next.

  7. Schedule and announce your campaign:

    • Keep Send Now on to send this campaign as soon as you announce it. You'll also have the option to connect your Vagaro account with Facebook and post this campaign on your page.

    • Toggle Send Now off to Schedule a date and time for when you want to send out this campaign.

    Agree to the acknowledgment, then select Announce when you're ready to send.

On a Computer, Tablet, Pay Desk, or PayPro

To add a form to a text campaign:

  1. Go to Marketing megaphone_icon.png, then select Create Campaign under Email & Text Marketing.

  2. On the marketing dashboard, select Create Campaign.

  3. Under Select Delivery Method, select Text.

  4. Enter a Text Campaign Name. This name is used to label your campaign and is not shown to customers.

  5. Finish configuring your campaign by entering a campaign name, selecting one of the following campaign types, and choosing who the campaign will send to:

    After setting up your campaign settings, you can begin composing your message.

  6. Enter the text message, then insert a link to your form:

    1. Select Insert Link.

    2. Scroll down in the list, select Forms, and then choose the form template to be included in the text.

    A link to your form will be included in the text campaign.

  7. Agree to the acknowledgment, and Announce your campaign.

    • You can save a draft of your campaign by selecting Save for Later instead of announcing it right away.

Add a Form to an Email Campaign

In an email campaign, you can link to a form by adding a clickable button to your email or hyperlinking to the form directly in the body.

On a Phone

To add a form to an email campaign:

  1. Select More This is an icon used to go to the More initial navigation step on the Vagaro website and the Vagaro Pro app. → Email & Text Marketing → Create Campaign.

  2. Under Select Delivery Method, select Email.

  3. Finish configuring your campaign by entering a campaign name, selecting one of the following campaign types, and choosing who the campaign will send to:

    After setting up your campaign settings, you can begin creating your email.

  4. Choose a template for your email and design your email. When you're done designing your campaign, you can paste a link to your form directly in the body of the email campaign or link to the form with a button.

    To change a button link:

    1. Scroll down and select one of the buttons on the email, like Book With US 24/7.

    2. Select the Right-Arrow > icon for the button you want to change.

    3. Select Forms.

    4. Enter the Button Text.

    5. In Link URL, select the form you want to link to.

    6. Select Save.

  5. After you finish designing your email, select Next at the bottom of the screen.

  6. Schedule and announce your campaign:

    • Keep Send Now on to send this campaign as soon as you announce it. You'll also have the option to connect your Vagaro account with Facebook and post this campaign on your page.

    • Toggle Send Now off to Schedule a date and time for when you want to send out this campaign.

    Agree to the acknowledgment, then select Announce when you're ready to send.

On a Computer, Tablet, Pay Desk, or PayPro

To add a form to an email campaign:

  1. Go to Marketing megaphone_icon.png, then select Create Campaign under Email & Text Marketing.

  2. On the marketing dashboard, select Create Campaign.

  3. Next to Select Delivery Method, choose Email.

  4. Finish configuring your campaign by entering a campaign name, selecting one of the following campaign types, and choosing who the campaign will send to:

  5. Add a link to the form in your email. You can add a link to the form as a hyperlink or button:

    • Link to Your Form with a Hyperlink:

      1. Add a text block to your email campaign.

      2. Enter the text for the body.

      3. Highlight the text to be hyperlinked, then select the Link button.

      4. In the URL text box, paste the form link to your form.

      5. Select OK, then select Save.

    • Link to Form with Button:

      1. Add a Buttons module to your email body.

      2. Customize the style of your button, then in the Button Link list, select Forms.

      3. Under the Button Link list, another list will appear. Select the form you want to link to in the email.

      4. Enter the Button Text that will appear in the email.

      5. Select Save.

  6. Announce your campaign by agreeing to the acknowledgment at the bottom of the screen, then select Announce.
