The Gusto integration is now part of Vagaro Payroll. Legacy users of the Gusto integration will still be able to use it, but if you deactivate it or switch to Vagaro Payroll, it cannot be reactivated again.

Our Gusto integration also automatically calculates tax withholding and allows you to sync hours, earnings, pay structures, and streamline payroll closeouts in both Vagaro and Gusto.
Prerequisites: This feature is only available for businesses in the US, and each employee must also have a Gusto account, including the business owner. Although payroll can be run on any device, payroll configuration can be performed only on the web, tablet, or Pay Desk.
Syncing and processing payroll data between Vagaro and Gusto requires that each employee has an employee profile set up in Vagaro, and the employee must have completed onboarding in Gusto.
In Gusto, employees who have not completed their onboarding will have the icon beside their name, and the payroll data for this employee will not be synced to Gusto.
To connect your employees' profiles wan employee profile in Gusto with Vagaro:

On Vagaro, go to the Gusto integration screen, and find the employee's profile.
Important
If an employee is already connected in Gusto, selecting Change will disconnect the employee profile from their profile in Gusto, and you'll have to link them again.

Select Select Action, then select Add as Gusto employee.

Select Link to existing Gusto employee. All employees who currently have a Gusto employee account are listed.

Select the Gusto employee account to link to, then select Save.

Select Save in the confirmation message.

Repeat steps 1 to 5 to link other employee profiles to their Gusto accounts.

Log into your Gusto account to finish setting up your payroll.
For payroll information to automatically sync between Vagaro and Gusto and prevent errors about mismatched information, your Gusto company ID, payroll f\Frequency, and payroll closing day must be the same at all multi-location businesses and match with the information in your Gusto account.
If your payroll ends on a Saturday or Sunday, you will need to manually sync your payroll because most banks do not process payments over the weekend, so Gusto doesn't offer Saturday or Sunday paydays.
In Vagaro, payroll configuration settings are available only on the web, tablet, and Pay Desk.
To verify your payroll configuration settings:

In Vagaro:

Go to

Verify and take note of your Payroll Frequency, Day of the Week, and Payroll Ending Day.

In Gusto, verify that the same information is selected.

Log in to Gusto, then go to the Company Details screen.

Select the Edit button next to Pay Schedule.

In the small window, select the same Pay Period, Day of the Week, and Payroll Ending Day you selected in Vagaro.

Select the First Pay Day on New Schedule and the days to be included in each pay period.

Select Save.

Go back to Vagaro and check if the sync error message has gone away. If it hasn't, contact Vagaro Support.
If your payroll end date in Vagaro is set to Saturday or Sunday, you need to manually sync your payroll settings in Gusto.
To manually sync your payroll settings:

In Gusto, choose the following settings:
-
Payroll Frequency: Make sure it is the same as what you selected in Vagaro.

Day of the week: Select Monday.

For Work Done: Select Other.
-
Payroll Ending Date: Select the same date as you did in Vagaro.

Select Save.
Closing out your payroll marks them as paid in your Vagaro payroll reports and pays your employees for the selected pay period.
To close out your payroll with Gusto:

After running the Payroll report, select Run Payroll with Gusto

On the popup, select an option:
-
Sync and I'll Finish Later: Sync your payroll data to Gusto and complete your payroll later (in the next step) by logging into Gusto.

Complete in Gusto: Go to Gusto now to finalize and and submit your payroll.

Finalize your payroll in Gusto.

On the Gusto dashboard, in the top-right corner, select Menu, then select → .

Select the payroll period to review, then select Run Payroll.

For each employee, verify that their hours, commission earnings, and payment types are correct, then select Continue.

Enter each employee's Time Off or Sick Time used during this pay period, and then select Continue.

Verify that all totals are correct, then select Submit Payroll.

To close out your payroll with Gusto:

After running the Payroll report, select Run Payroll with Gusto

On the popup, select an option:

Sync and I'll Finish Later: Sync your payroll data to Gusto and complete your payroll later (in the next step) by logging into Gusto.

Complete in Gusto: Go to Gusto now to finalize and and submit your payroll.

Finalize your payroll in Gusto.

On the Gusto dashboard, in the side menu, select

Select the payroll period to review, then select Run Payroll.

For each employee, verify that their hours, commission earnings, and payment types are correct, then select Continue.

Enter each employee's Time Off or Sick Time used during this pay period, and then select Continue.

Verify that all totals are correct, then select Submit Payroll.

Important
The Gusto integration is now part of Vagaro Payroll. Deactivating this feature or switching to Vagaro Payroll cannot be undone.
To deactivate the Gusto integration:

Go to the Integrations screen.

Select the Settings button for Gusto.

Select Disconnect Account.

After integrating Gusto do we still pay them? And pay Vagaro?
