Download Your Form W-2 and Other Vagaro Payroll Documents – Vagaro Support

Each year, Vagaro generates a Form W-2 for employees and a Form 1099 for contractors who were paid via direct deposit through Vagaro Payroll. These documents can be found in your employee profile. Any additional documents will be shown there as well.

The business owner can go to their Vagaro Payroll settings to access and download all Vagaro Payroll documents.

Prerequisites: Vagaro generates Form W-2 or W-9 for businesses with Vagaro Payroll.

Who Receives Forms W-2 or 1099?

Form W-2 is only generated for employees who receive direct deposits through Vagaro Payroll. If you are a contractor paid through Vagaro Payroll, you will receive a Form 1099 instead.

Note

Keep in mind that Form 1099 applies only to contractors paid by businesses that use Vagaro Payroll. It differs from Forms 1099-K and 1099-MISC.

When Will I Receive My Forms W-2 or 1099?

Your Forms W-2 or 1099 will become available by January 31, 2026. When your form is available, you'll receive an email and a notification in your Notification Panel Bell Icon .

Download Your Forms W-2 or 1099

You can download your forms from your employee profile.

On a Phone

To download the forms:

Select More → Settings → Employee Profiles.
Select Employees to view all profiles, then select the employee's profile from the list.
From their profile, next to your business's name, select Action → Payroll.

Note

If multi-location is configured, select Action for the location you want to modify.
Select the Documents tab, then next to your Forms W-2 or 1099, select Download.

On a Computer, Tablet, Pay Desk, or PayPro

To download the forms:

Select Settings → Employee Profiles.
Next to the employee's profile, select Action → Payroll.

Note

If multi-location is configured, select the Locations link next to their profile, then select Action → Payroll.
Select the Documents tab, then next to your Forms W-2 or 1099, select Download.

Download Payroll Documents as a Business Owner

The business owner can access all Vagaro Payroll documents from Vagaro Payroll settings.

On a Phone

To download the forms:

Select Settings → Vagaro Payroll.
Select the Documents tab, then Download your documents.

On a Computer, Tablet, Pay Desk, or PayPro

To download the forms:

Select Settings → Vagaro Payroll.
Select the Documents tab, then Download your documents.

How Can I Access My Forms W-2 or 1099 If I'm A Former Employee?

If you no longer work for a Vagaro business or you cancelled your Vagaro account, you have a few options to access your forms:

Access forms from your customer profile. (This is the easiest option)
Contact Vagaro Support.
If the Vagaro account is still open and you're a former employee or business owner, you can contact the business directly.

On the Vagaro App

To access your forms:

Log into your Vagaro account in the Vagaro app.
Go to Profile → Payments → Payroll History.
Select the Documents tab, then select your Forms W-2 or 1099 to view and download them.

On Vagaro.com

To access your forms:

Log in to your Vagaro account on Vagaro.com.
Go to Payroll History:
- On a Mobile or Tablet Browser: In the top-left corner, select the Vagaro icon, then under Payments, select Payroll History.

- On a Computer Browser: In the top-right corner, hover over profile, then go to My Profile → Payments → Payroll History.
Select the Documents tab, then select your Forms W-2 or 1099 to view and download them.
