Create and Manage Tax Rates

On Vagaro, you can create multiple tax rates, apply them to your services, and enable tax-inclusive pricing.

Note

This article is not intended nor meant to provide advice on what services or products require tax. Tax rates differ by jurisdiction, so please review all relevant laws and regulations before creating or editing any tax rates.

  • For new US businesses, "Sales Tax" will automatically populate without a tax percentage.

  • For new Canadian businesses, "GST," "HST," and "PST" will automatically populate without a tax percentage.

  • For new UK businesses, the "VAT" tax will automatically populate with a tax percentage of 20%.

  • For new Australian businesses, the "GST" tax will automatically populate with a tax percentage of 10%.

Prerequisites: This feature is available for all Vagaro businesses.

Creating New Tax Rates in Vagaro

The steps below will show you how to create a new tax rate. It will explain how to enter a tax name and percentage, save your tax rate, and how to modify or delete it later.

On a Phone

To create a new tax rate:

  1. Select More This is an icon used to go to the More initial navigation step on the Vagaro website and the Vagaro Pro app. → Settings → Taxes & Checkout.

  2. Select Add Tax.

  3. Enter a Tax Name and Tax Percentage.

  4. Select Save.

  5. You can modify or delete your new tax rate by selecting it.

    Important

    Once deleted, you cannot apply the tax anymore; however, it is still documented in reports. If you create a tax with the same name after (case sensitive), both taxes will be merged in reports.

  6. Select Save from the Taxes & Checkout screen to finalize all changes. You will then need to assign this new tax rate to any items that require a tax.

On a Computer, Tablet, Pay Desk, or PayPro

To create a new tax rate:

  1. Select Settings gear → Taxes & Checkout.

  2. Scroll down to the Taxes section and select Add Tax.

  3. Enter a Tax Name and Tax Percentage.

  4. Select Save.

  5. Optionally, select the Action Three vertically stacked circles, representing a menu or more options icon. menu for the tax rate to Delete or Edit it.

    Important

    Once deleted, you cannot apply the tax anymore; however, it is still documented in reports. If you create a tax with the same name after (case sensitive), both taxes will be merged in reports.

  6. Select Save on the Taxes & Checkout screen to finalize all changes made.

Include Tax in Your Online Pricing

From the Taxes & Checkout page, scroll down to the Include Tax in Online Pricing setting and enable it. This setting shows the total price of a service (including tax) on your Vagaro Listing Page.

After assigning taxes to your services, classes, products, and other items, you can enter the total price (Price (with Tax)), instead of the price before tax for the things you sell.

Apply Tax to Products

To apply taxes to products, you'll need to attach the tax to each product. If you want to speed up the process, you can mass-edit all your products and apply your new tax rate at once from a computer, tablet, Pay Desk, or PayPro.

On a Phone

To apply tax to products:

  1. Select More This is an icon used to go to the More initial navigation step on the Vagaro website and the Vagaro Pro app. → Settings → Management.

  2. Select the product you want to edit.

  3. In the top-right corner, select Action Three vertically stacked circles, representing a menu or more options icon. → Edit.

    If your product has variants, see here.

  4. Next to Tax, select Add Tax or any taxes you applied.

  5. Select the tax rate(s) to be applied, then select Done.

  6. Make any additional changes to your product, then select Save.

  7. Repeat this step for all other products.

On a Computer, Tablet, Pay Desk, or PayPro

To apply tax to products:

  1. Go to Inventory Management:

    • Computer: Select Settings gear → Inventory.

    • Tablet, Pay Desk, or PayPro: Select Inventory inventory_icon.png.

  2. In the Edit menu, select Mass Edit, and then Tax.

  3. Select the Brand and Product Category you want to update, then apply your Tax.

  4. Select Apply when finished.

  5. Select Save in the bottom-right corner to save your changes.

Apply Tax to Services & Classes

Follow the steps below to apply your new tax rate to your services and classes.

On a Phone

To apply tax to services and classes:

  1. Select More This is an icon used to go to the More initial navigation step on the Vagaro website and the Vagaro Pro app. → Settings → Management.

  2. Select Services or Classes. In this example, we will select Services.

  3. Select a service or class from your menu.

  4. Select Edit.

  5. Select the Tax field.

  6. Apply a tax rate, then select Done.

  7. Select Save to finalize all changes.

On a Computer, Tablet, Pay Desk, or PayPro

To apply tax to services and classes:

  1. Go to Inventory Management:

    • Computer: Select Settings gear → Inventory.

    • Tablet, Pay Desk, or PayPro: Select Inventory inventory_icon.png.

  2. Select Services or Classes. In this example, we will select Services.

  3. Select the service or class you want to change.

  4. Expand the Tax drop-down menu and select up to four tax entries.

  5. Select Save in the bottom-right corner.

Apply Tax to Memberships & Packages - Web Only

Follow the steps below to apply your new tax rate to the memberships and packages you sell.

To apply tax to memberships and packages:

  1. Go to Settings This is an icon used to go to the More initial navigation step on the Vagaro website and the Vagaro Pro app., then in Things We Sell, select Memberships or Packages.

  2. Select the membership or package to be edited.

  3. Expand the Tax drop-down menu and select the tax rate you want to apply.

  4. Select Save to finish.

Remove Tax when Checking Out Customers

When checking out customers, you can remove and reapply tax rates from the Checkout screen.

On a Phone

To remove tax at checkout:

  1. Go to the Checkout circle-dollar-regular-full.png screen, or check out the customer directly from the Calendar.

  2. Select a customer and add items to their shopping cart.

    Note

    For existing appointments or classes, the customer is already selected and ready for checkout.

  3. Select the Tax field.

  4. Select the tax rate you want to remove.

  5. Select Remove, then select Save.

On a Computer, Tablet, Pay Desk, or PayPro

To remove tax at checkout:

  1. Go to the Checkout circle-dollar-regular-full.png screen, or check out the customer directly from the Calendar.

  2. Select a customer and add items to their shopping cart.

    Note

    For existing appointments or classes, the customer is already selected and ready for checkout.

  3. Select the Tax field.

  5. Select Remove, then Save to confirm.
