Check Out Customers Using Custom Payment Methods – Vagaro Support

You can create up to 10 custom payment methods so you can record payment methods for third-party services not supported by Vagaro. This feature is for reporting purposes only, so still have to collect and confirm payments yourself. All transactions made with custom payment methods will be listed in your Transaction List, Sales Summary, and Payment Distribution reports.

Note

For businesses with QuickBooks or Xero integration, your custom payment methods sync as "Other Amount Payment."

Prerequisites: This feature is available for all Vagaro businesses.

Create and Use Custom Payment Methods

To create and use a custom payment method:

Select Checkout , or check out the customer directly from the Calendar.
Select a customer and add items to their shopping cart. For existing appointments or classes, the customer is already selected and ready for checkout.
Next to Other, select Add.
If you haven't already, add a custom payment method.
1. Select Add Payment Method.
2. Enter a name similar to the payment method used; for example, "Care Credit" or "Alle Points."
3. Select Save.
Enter the payment next to the custom payment method. The amount can be split between multiple custom payment methods or just one.
Select Save.
Enter any additional payment information needed (if applicable), then select Checkout.

Manage Custom Payment Methods

Custom payment methods are managed in the Taxes & Checkout screen.

On a Phone

To manage your custom payment methods:

Select More → Settings → Taxes & Checkout.
Scroll to Other Payment Methods and select the custom payment method.
Select an option:
- Edit: Update the name of your payment method.
- Delete: Delete the payment method.
Optionally, select Add Other Payment Method to create a new one.
Select Save.

On a Computer, Tablet, Pay Desk, or PayPro

To manage your custom payment methods:

Select Settings → Taxes & Checkout.
Scroll to Other Payment Methods, then select the Action button next to the custom payment method.
Select an option:
- Edit: Update the name of your payment method.
- Delete: Delete the payment method.
Optionally, select Add Payment Method to create a new one.
Select Save.

Custom Payment Methods and Reporting

Transactions made with additional payment methods will still be shown in your reports.

Transaction List Report

To review a transaction paid for with a custom payment method, select the blue link under the Other column.

Receipts will also show which custom payment method was used.

Sales Summary Report

You can review information about all sales made during a specific timeframe; more specifically, you can review sales made with additional payment methods. In the Total Sale column, select the blue Payment Amount button in a payment Type's row to review your sales data. Your additional payment method will appear as a column item.

Payment Distribution Report

Review data on how much revenue is collected for each Charge Type. In this report, your new payment methods are listed in their own row. You can select a payment method to review transactions.

Hi Terrence,

Yes. You can name the alternative payment methods any way you want! Just keep in mind that this feature is for reporting only. Receiving the money through a cash app is handled by the business, not Vagaro.
