Give Complimentary and Donation Gift Cards to Customers

Adding a gift card from the Gift Card report lets you assign a gift card to a customer’s profile without taking payment. This is useful when you want to give a gift card as part of a promotion, provide one for a donation, or issue one as a goodwill gesture to make things right.

Prerequisites: This feature is available for all Vagaro businesses.

On a Phone

To add a gift card:

  1. Select More This is an icon used to go to the More initial navigation step on the Vagaro website and the Vagaro Pro app. → Reports → Gift Cards.

    The report displays all gift cards with outstanding balances.

  2. In the top-right corner, select Action Three vertically stacked circles, representing a menu or more options icon. → New Gift Card.

  3. Enter a unique Gift Card Number:

    • For physical gift cards, manually enter the number or scan the barcode with a barcode scanner.

    • For digital gift cards, select Auto Generate.

  4. Enter the gift card's Amount and choose a Template Type.

    • If you don’t want to assign a value, you can choose a Service/Class/Add-On instead. This limits the gift card so it can only be redeemed for the specific service, class, or add-on you select.

    • Any designs you've uploaded will appear in Business Created; otherwise, you can use any of Vagaro's template designs. You still need to select a design if you scanned a physical gift card.

  5. Optionally, choose the Recipient. If this person isn't on your customer list, you can leave this option blank or create a new profile for them.

  6. Fill in the other optional gift card fields, and when you've finished creating your gift card, select Next.

    • Expires On: The expiration date of your gift card.

      Note

      Every state has its own regulations for gift cards. These regulations can vary from when they expire to whether they are redeemable for a cash value. To help you follow safe business practices and provide you with more information on these regulations, visit https://www.ncsl.org/financial-services/gift-cards-and-gift-certificates-statutes-and-legislation.

    • Send On: Send the gift card to the recipient right after it's created. If you have a recipient selected, you can toggle this setting off to choose a specific delivery day and time.

    • Message: The message shown on the digital gift card.

    • Print Gift Card: Print this gift card.

    • Email Gift Card to: Send this gift card to the recipient's email.

  7. A preview of the digital gift card will appear. If no additional changes are needed, select Add Gift Card.

On a Computer, Tablet, Pay Desk, or PayPro

To add a gift card:

  1. Select Reports Decorative solid black rectangle, which is usually an icon for reports or charts. → Gift Cards.

    The report displays all gift cards with outstanding balances.

  2. In the top-left corner of the table, select New Gift Card.

  3. Enter a unique Gift Card Number:

    • For physical gift cards, manually enter the number or scan the barcode with a barcode scanner.

    • For digital gift cards, select Auto Generate.

  4. Enter the gift card's Amount and choose a Template Type.
