Require Acceptance for Personal Tasks

Enable the Require Acceptance for Personal Tasks setting in your employees' access levels so that their manager has to approve or deny their personal tasks. When an employee creates a personal task with Block Online Booking selected, their manager will receive a notification via email and in Vagaro to review. All pending, approved, or declined tasks can be tracked and managed in the Time Off Report. Personal task requests can be approved from:

  • The Notification Panel Bell Icon.

  • The employee's Calendar.

  • Your email.

Prerequisites: This feature is available for all Vagaro businesses. In the US, Vagaro Payroll is recommended if you want to create time off policies to specify and track how much paid time off employees can take.

Configure Access Levels for Personal Tasks

To require acceptance for personal tasks:

  1. Go to Access Levels:

    • Phone: Select More This is an icon used to go to the More initial navigation step on the Vagaro website and the Vagaro Pro app. → Settings → Access Levels.

    • Computer, Tablet, Pay Desk, or PayPro: Select Settings gear → Access Levels.

  2. For the access level you want to modify, select the Action menu, then select Edit.

  3. Ensure that the access level has Control Own Calendar set to View and Modify and Require Acceptance for Personal Tasks is enabled.

  4. Select Save.

Update an Employee's Manager (Reports To)

By default, the business owner is set as every employee's manager (Reports To) unless another employee is selected. You can change

On a Phone

To update an employee's manager

  1. Select More This is an icon used to go to the More initial navigation step on the Vagaro website and the Vagaro Pro app. → Settings → Employee Profiles.

  2. Select Employees to view all profiles.

  3. Select the employee's profile.

  4. In the employee's profile, under Locations, select the Action Three vertically stacked circles, representing a menu or more options icon. menu, then select Edit Profile.

  5. Scroll down to Reports To and select the employee's manager.

  6. Select Save.

On a Computer, Tablet, Pay Desk, or PayPro

To update an employee's manager:

  1. Select Settings gear → Employee Profiles.

  2. At the end of the employee's profile, select the Action Three vertically stacked circles, representing a menu or more options icon. menu, then select Edit Profile.

  3. Scroll down to Reports To and select the employee's manager.

  4. Select Save.

View Employee Requests

To review all employee requests:

  1. Go to the Notification Panel Bell Icon, then select View.

  2. In Personal Task Request, select View.

  3. Check if there are any scheduling conflicts. You can edit the appointment, drag and drop, or move it to another day or employee's calendar.

  4. Select the request on the Calendar.

  5. Respond to the request:

    • Select Approve to grant the time off.

    • Select Deny, then enter a reason to reject the time off.

The pending request will be updated on the employee's calendar once approved, or if the request was denied, they'll receive an email with a reason why.

    will this also block th eemployee from removal of the personal task too?

    Hi Laura, no, this will not block the employee from removing the task. They will be able to delete the personal task if they want.
