Activate the Xero Integration

The Xero integration is a premium feature that saves you time by exporting your sales transactions, taxes, tips, and refunds to your Xero account, as well as automatically reconciling your books by matching payments and fees against your bank statement. Vagaro syncs all transactions at 2:00 AM so they're ready for your review in the morning.

Note

Xero only pulls the previous two months from Vagaro when you start the integration.

It may take up to 48 hours for your business information to be synced the first time you activate the Xero integration.

All businesses can activate the Xero integration for an additional cost per month:

  • $30 USD/month

  • $40 CAD/month

  • $0 GBP/month (free)

  • $40 AUD/month

Note

If you turn off this feature before your billing date, you will still be charged at the end of your billing cycle, regardless of when you deactivated it.

Prerequisites: This feature is available for all Vagaro businesses. Your Xero account must already be set up and ready to integrate with Vagaro.

To activate the Xero integration:

  1. Go to Integrations.

    • On a Phone: Go to More → Settings → Add-Ons+Integrations.

    • On the Web, Tablet, Pay Desk, or PayPro: Go to Settings → Premium Features+Integrations.

  2. In the Xero tile, select Learn more.

  3. Select Connect to Xero.

  4. Enter your Xero login credentials, then select Login.

  5. Select Allow access.

  6. Select the Sync Start Date to select when to start syncing the reports. You can also optionally add a Nickname that your Vagaro transaction data will be listed under after information has been synced.

  7. Under Match your Vagaro transactions to your Xero Accounts, match each Vagaro sales type with your "REVENUE" class account in Xero. Directions on the right side describe how to add new accounts, if the ones offered don't work for you.

  8. Under Match your Vagaro Payments to your Xero Accounts, match each Vagaro payment type with your "Current Asset" type account in Xero. Directions on the right side describe how to add new accounts, if the ones offered don't work for you.

  9. In the Tax Rate list, select Auto Look Up for Vagaro to use the tax rate you defined in your Xero account.

  10. Toggle on the Sync transactions after fees are deducted switch to synchronize your transactions to show deposit to your bank account with fees already deducted. If this toggle is switched off, your transactions will be shown without any deductions.

  11. Select Save to start syncing between Vagaro and Xero.

    so does vagaro charge you $30 on top of the monthly Vagaro and Xero fees to integrate the two?
