To manually enter a credit card payment if you haven't signed up for credit card processing using Vagaro Merchant Services (VMS) and want the transaction to be included in your Reports, follow the steps below.
This is not the same thing as processing a credit card transaction using VMS. This is a workaround for you to be able to track credit card transactions completed using another processing service.
Create the transaction: Add a customer and items to the shopping cart. Continue when you're ready to check out the transaction.
Enter the amount that is due in the Credit Card field.
Select the credit card type by tapping Add (Vagaro Pro) or clicking Select Card (Web).
The transaction will be included in the Transaction List and Sales Reports.
Mine does not look like this. It does not have an options to select card type. It insists on entering a card number. I’m using the square for payment. But I want vagaro to keep track of my sales by entering them in manually.
Hi Sara. When you enter the dollar amount in the Credit Card field, the drop-down where you select a card type doesn't appear? Can you send a screenshot to email@example.com when you get a chance? Put Attn Charles in the subject line.
When do we input the card info though? I was doing this the passed few days by my card reader wasn’t here yet and I put in the dollar amount and clicked the arrow and the drop down came up and I clicked visa and it automatically said ‘transaction complete’. I never swiped a card or put any card numbers in. So I’m so confused. It’s done this multiple times
If you are not using Vagaro's Credit Card Processing, you will not be able to charge a Customer's credit card using the software. If you have another provider that you use to process your payments, you can charge the Customer's credit card using that system, and then record the transaction in Vagaro for reporting purposes using the steps in this article.

Mine doesn't look like this either. Occasionally for some clients in order to pay with their HSA cards, I have to use my Square reader. I want to be able to track these payments in Vagaro but I don't get the drop down option to add credit card- it takes me to a form where i have to fill out/input the client's credit card reader. For these same HSA clients, they need to submit a receipt and I can't send them one.
You HAVE Vagaro Merchant Services, and the described "work-around" is meant for business owners who do NOT have VMS. That's why you see the credit card number entry screen rather than what's described for the workaround above. I don't know if you can change your VMS account type to one that can accept FSA/HSA payments, but you could contact Vagaro support to ask.
I'm also having the issue that it doesn't work like this. I'm guessing it's because I've signed up for VMS? I don't always want to use VMS to checkout a client. How can I make this work? I don't want to cancel VMS because I need it to hold a card on file in case of cancellations and I use the shopping cart add on which requires VMS as well. Please help!
