Memberships allow you to add discounts to multiple services, classes, and products at once. You additionally can offer discounts based on a set number of visits as well as set specific auto-renew options.
To edit a membership from a customer's profile in Vagaro, follow these steps:
- Click Customers at the top of the screen.
- Select the client. This takes you to the customer's profile.
- Select the Memberships tab.
- Find the membership. Then click the three dots on the right side of the screen. From here, you can do the following: edit the current membership or change it to a different one, deactivate or reactivate it, cancel it, view the History of it, issue a refund, and view more details regarding the client's membership.

Editing a Customer Membership from the Client's Profile
1. Click Customers at the top of the screen.
2. Select the client.
3. Select the Memberships tab.
4. Find the membership on the list. Then click the three dots that correspond to it on the right side of the screen. You can do the following:
- Edit the current membership or change it to a different one.
- Deactivate it. You'll also be able to Activate the item if it has been deactivated.
- Cancel the membership.
- Refund the client.
- View the History. This allows you to see if there were any changes that were made to the membership.
- View the Details of the membership.
Editing a Membership
1. Once you click Edit, select Yes.
2. You can edit the customer's current membership or change it to a different one. Let's first look at editing the existing item. In this case, you'll be able to do the following:
- Change the Price. You'll specifically be able to increase the amount or decrease it if you want to offer it at a discounted price.
- Select a different Payment Date.
- Enable the Auto Renewal option which allows you to automatically charge the client's credit card on file based on the Charge frequency that was selected.
- Cancel the membership.
When you're finished, click Modify Membership.
3. Let's now look at changing the client's current membership to a different one when editing it. Click Change near the top of the screen.
4. Click the drop-down that corresponds to Membership, then select the other one you want to assign to the client.
Click the drop-down that corresponds to Charge Frequency, then select the option you desire. This option allows you to automatically charge the customer's credit card on file. You can charge the client:
- Weekly.
- Every four weeks.
- Monthly.
- Every two months.
- Quarterly or every three months.
- Yearly.
Click the calendar icon to select a different Payment Date.
5. Click Auto Renewal if you want to automatically charge the customer's credit card on file. Then select the Auto Renew Limit. In the example below, we entered "5." This means that the membership will auto-renew no more than five times.
Select Unlimited if you want the membership to continuously auto-renew. When you're finished, click Modify Membership. This takes you to the Checkout screen where you can collect payment.
Deactivating a Membership
1. Once you locate the membership on the customer's profile, click the three dots that correspond to it on the right side of the page. Then click Deactivate.
2. Click Yes to confirm.
*Remember, you'll be able to activate the membership at any point. Once you locate it on the customer's profile, click the three dots that correspond to the item on the right side of the page. Then click Activate.
Canceling a Membership
1. Once you locate the membership on the customer's profile, click the three dots that correspond to it on the right side of the page. Then click Cancel.
2. Click Yes to cancel the membership.
Refunding a Membership
1. Once you locate the membership, click the three dots that correspond to it on the right side of the page. Then click Refund. Feel free to click the links below to learn more about the refunding process.
Viewing the History of a Membership
1. Once you locate the membership on the customer's profile, click the three dots that correspond to it on the right side of the page. Then click History.
2. The History allows you to view all the changes that were made to the item as well as who modified it and when the modification was made. You specifically can see:
- The date the membership was changed.
- The initial balance.
- Any time the membership is redeemed as well as the location it was redeemed, including at the store location or from the online booking page.
- The person who created the item.
Viewing the Details of the Membership
1. Once you locate the membership on the customer's profile, click the three dots that correspond to it on the right side of the page. Then click View Details.
2. Once you get to this page, you'll be able to see all the services, classes, and products that were added to the membership, the discount that was set for each item, as well as the total number of visits remaining for each service, class, and product.
