For customer security, your clients are the only ones who can update their own customer information. If you need to update any of your clients' information, you'll have to ask them to log into their own Vagaro account to change their First Name, Last Name, phone number (Mobile Phone, Day Phone, Night Phone), and Email address. Businesses can't update a customer's profile if they visited another business for an appointment or made a purchase there.
Tip
You can request the customer to update their own account information, or you can create a Vagaro form with the Contact module and send it to the customer for them to fill out, which will automatically update their information in your customer list.
Prerequisites: This feature is available for all Vagaro businesses.
To update a client's information if they haven't visited another Vagaro business:
-
Go to Customers.
-
In Vagaro Pro: At the bottom of the screen, select Customers.
-
On the Web: At the top of the screen, hover over Customers, and then select Customer Management.
-
-
Search for and select the customer profile to edit.
-
On the Profile tab, select Edit.
-
Update the customer's profile as required. See Create a New Customer Profile for a description of each field.
-
Select Save.

This is probably the worst change Vagaro could make. It makes no sense why they made this change. There are a large number of clients that don’t know how to use technology and now we won’t be able to change their phone number in order to contact them and a lot of these clients have no clue how too even log onto vagaro . they only have a profile because we require one to book an appt at our business. And we pay for the Vagaro service to store our clients information. Makes me think I may need to change my booking software
Hi Renee,
I understand that this change may be difficult for your customers. We implemented this change for security reasons to ensure that all your customer's profiles stay safe and secure. I created a ticket for you, and a Vagaro expert will contact you later to discuss how we can remedy this for you!
Thank you,
Jamie
I agree, this is so frustrating. Being the business owner, I have added all of my clients, and their information. My clients don’t even access the app., because we do not allow online booking. Not being able to edit the information so they get notifications is infuriating.
Hi Kim,
You should be able to edit the customer profile if their email isn't attached to any other Vagaro businesses. I double-checked on my end, and I was able to edit a unique profile.
Thanks,
Jamie
This is really frustrating. I understand the security issue for a very small percentage of clients. Would there be a possible way around this, so that we can do this in office- potentially having the patients get text a code, or even emailed a code- that we can then enter- because I agree with Kim, many patients do not know how to go into the app and change things- and often times don't make it a priority-- which is of course on them, but as a business owner it is important to have the proper contact information to make sure that we give proper reminders.
Hi, Blake. If you can't update a customer's email address, it's because they're also a customer of another Vagaro business. If you need to update a customer's contact information, you can create and send a Vagaro form using the Contact module. Refer to these articles for more information about how to create and send this form:

I agree this has to be the worst update Vagaro has ever introduced. As a business owner and 13 year customer, I have seen an increase of incorrect or incomplete names and contact information. This is a security issue for the business as we are not able to update the client information once they arrive. This was brought to my attention after we had a client who only put in his initials. We couldn't update this file with his correct information when he arrived. Eventually, the stylist did not feel comfortable servicing him. Had he done something, we only would have initials to make a report. Vagaro, there has to be a better work around for this.
Hi, India.
We understand that this change may be difficult for your customers. This change was implemented for security reasons to ensure that all your customer's profiles stay safe and secure.
To keep your customers' information updated, you can ask the customer to update their own account information in the Vagaro app or at Vagaro.com, or you can create a Vagaro form with the Contact module and send it to the customer for them to fill out, which will automatically update their information in your customer list.
Regards,
Kim.
I do not understand the logic behind “If they are clients of other Vagaro clients,” as our clients and their clients differ in every way. If they come here from another business, what prevents that other business from knowing where else they are going? Plus, giving the client complete control over their profile leaves us with possibly false information. Someone underage can register on their own and lie about their age, give us an alias, wrong address, someone else's phone number, etc.
If one client updates their info and it becomes a legal issue, will Vagaro stand behind their policy?
Do you have a HIPPA reference to support the statement that “only customers should be allowed to make changes to their profiles”?
Thanks
Hi Jose,
No booking information, completed forms, businesses the customer has visited, services they've completed, etc., is shared between Vagaro businesses. This information is only stored with your business and can't be accessed by anyone but you and the customer.
Vagaro is HIPAA-compliant software, and this update further ensures that your customers' data and medical information are safe and secure.
Thanks,
Jamie
This is sub par customer service. I have to ask my guest to “log into vagaro” to update any changes to their personal profile. Yikes. I lost a rebook client today because she didn't know how to edit the error she put on her phone number and then was frustrated and said “I will just do it later and rebook later”. So now I have no way to contact her. I feel like this is a “fix” that no one asked for.
I agree that this is a terrible idea and does not work for our business. Customers put invalid information or use middle names or maiden names that need to be changed. We need to have accurate medical records and access to update the neccessary information. Often times a phone number is incorrect or has a transposed number and we cannot even update that without the client going in and doing so. So the number remains unchanged and we are unable to contact the patient. If it is a security issue with other businesses using the account info then the customers information should only remain changed in the account with that particular business.
