Multiple Location Setup

Vagaro now offers the ability to connect multiple business accounts together and share customer information, gift certificates, packages, memberships and other settings. (This is for those of you who work at two or more salons, spas, or fitness locations, as well as anyone who wants to link two or more Vagaro accounts together.)

This forum will go over how to set up multiple locations by adding a new business and how to connect to an existing account.

 

To get started:

1. Click on Settings and then Multi Location.

 

2. Click on Add New Location.

 

3. Select if you want to add a New Business which will create another Vagaro account or if you want to connect to an Existing Business account.

New Business Setup

1. Hover over New Business and click Create.

 

2. Enter in the required information and then click Continue.

 

3. Select which employees you would like to copy over to the new account and click Continue.

 

4. Choose which account to copy the information from as well as what you would like to copy. Then click Create.

OR

If you choose not to copy any settings, click Continue.

 

5. Confirm the cost for the new account and then click Proceed.

 

6. Once you have added the locations, you can share Customers,  Gift Certificates, Packages, Memberships and Points. Share Customer must be turned on in order to share Gift Certificates, Packages, Memberships and Points.

 

7. To switch between businesses click on the business name. An  icon will display what account you are currently logged in to.

 

An alternative way to switch between businesses on a computer is to click on Change Business and then select which account you want to switch to in the drop down menu.

To switch between businesses on a tablet or phone click on More and Change Business.

 

This completes the New Business Setup.

 


Existing Business Setup

1. Hover over Existing Business  and click Join.

 

2. Enter in the account owner log in information for the business account that you want to add, and click Continue.

 

3. Choose if you want to Change the ownership of the account being added, or Keep the same account owner. Click Continue.

 

4.  If the current owner of the existing account is going to be changed to an employee, please select their new Access Level. Click Create.

 

5. Once you have added the locations, you can share Customers,  Gift Certificates, Packages, Memberships and Points. Share Customer must be turned on in order to share Gift Certificates, Packages, Memberships and Points.

 

6. To switch between businesses click on the business name. An  icon will display what account you are currently logged in to.

Additional Information

1. You can view a customers appointments, products, notes, IOUs, gift certificates, packages and memberships of all locations from one screen. This can be viewed by going to Customers and then Customer Management.

 

2. Whenever a customer is pulled up, you will be able to see the customers history of a specific location or of all locations at the same time. When selecting a particular customer, you will see customer history like customer since, last visited, number of appointments, total amount paid, total points etc. All other information except points are business specific.

 

3. The following actions can be done only by the account owner if they are logged into a particular business:

  • View Appointment (By clicking the date under the appointment tab)
  • Change Appointment Status
  • Pay/Void an IOU
  • Insert/Edit/Delete Notes
  • Refund Membership

    This will be great considering I run booths in 3 different locations. Is there an added cost for using this feature?

    It won't let me add t New location to existing business, it says I need to log out?

    Hi, thank you for the info but once i went to setting - Business section theres no multi locations listed under billing information. do I have to purchase something? Before I get started ?
