Follow the steps below to refund a product sale from the customer's profile or the Transaction List Report.
From the Customer Profile:

Click Customers, select a Customer, and then click the Products tab.

Click the Action menu (3 vertical dots) on the line with the product to refund, then click Refund.

There may have been more than one product in the transaction, so select the correct product and then click one of the available refund types (not grayed out).
Continue from Step 8 below to complete the refund.
From the Transaction List report:

Navigate to
→ . -
Set the date range using Transactions From-To.

You can select one or more Service Providers to search for.

Select a customer from the Customer drop-down list. The default is all customers.

Click Run Report.

Locate the product to refund and click the Action drop-down list on that line. Then click Refund.

Click one of the available refund types (not grayed out).

Refund Amount will be pre-filled, as will the tax calculation.
You can change the refund amount.

If you want to return the refunded product to your stock, check Return Stock and enter the number of products to return, then click Next.

Enter how to distribute the refund amount. Then, click Confirm.

Enter the reason for the refund. Use the checkboxes to email or print the receipt.

Click Refund to complete the process, or Next if you are issuing a gift certificate for the refund.
Follow these steps for a gift certificate refund:

Suppose you are issuing the refund as a gift certificate to a customer who already has one or more gift certificates. In that case, this screen displays asking if you want to add to an existing or create a new certificate for this refund.
Note
The Add New screen opens if the user doesn't have any gift certificates.

Click Add Existing to increase the balance of an existing gift certificate.
Select an existing gift certificate for the balance increase and click Submit.

Click Add New to add the balance to a new gift certificate.
Enter, auto-generate, or scan the gift certificate number; select an expiration date, if wanted, and click Submit.

The refund is processed.

I feel there needs to be a way to do this from the checkout screen. Also, we have many customers we don't get names for that just come in to purchase items (we just put it under a generic name we built into the system such as "Walk In") . For example we had a client today that purchased a few items on their last visit, and they came in today and wanted to exchange them for a different item. I had to issue him a gift certificate for the amount he returned, and then rang him up for the new product and used the gift certificate to pay. All in all it took almost 10 minutes of me fiddling around with the system to figure out an appropriate way to credit the customer, and then use that credit to apply it to his new purchase. I then had to manually change the item count in the inventory system once he left. I realize this could have been avoided by searching his name and doing the refund that way, but that doesn't really help in the event of an exchange, especially if they used a credit card.
I understand this is a fraud protection feature, having to search the client and issue a refund that way. All shops have different return policies. I just feel it would be more streamlined to just "trust" that each salon is doing returns correctly, and have a return/exchange/refund feature built into checkout that didn't require a specific customer to have purchased the item in order to exchange it. Many items purchased at my shop are gifts, which can make it increasingly difficult if i have to look up the person who purchased the item in order to refund the purchase.

How do we look up a list of refunded/returned transactions and notes without looking for a specific customer return. Is there a list of these somewhere in reports?
Kristin - In the transaction list, you can select a date range in the filter and then check the box "show refunded items only". This will only list the line items that were refunded.
