A Resource is a room or a tool that's required to perform a service. It's available in a limited quantity and can be shared by more than one person at a business. Some examples include a massage room, a chair, a cardio room, and different types of exercise equipment.

Click Settings.

Select Service/Class Menu on the left side of the screen under Things We Sell.

Select the Resources tab.

Enter the Resource in the textbox, then click Add Resource.

Now that we've added the Resource to the menu, we can assign it to a Service or Class that we add or edit.
From the Service-Class Menu, select the Services option from the top of the screen to add a resource to a service. Select the Classes option to assign a resource to a class. Let's assign a resource to a service.

Find the item on the list. Click the Action menu (3 vertical dots), then select Edit.

Click the drop-down under Resource. Then select the resource you want to add to the service or class.

Click Save when you're ready!

Now that we have added resources to the Service-Class Menu, we can assign them to a service or class when scheduling it on the calendar. Let's assign a resource to an appointment. Click Calendar at the top of the screen to get started.

Select a time slot on the employee's calendar, then select New Appointment.

Select the service. When a service has a resource, the Select Resource drop-down menu appears under the Resource title.
Click the Select Resource drop-down to select the resource. Select the customer, then click Book.

When booking reoccurring appointments, the system defaults to the first available resource when each appointment occurs.

I like this feature, but booking from a mobile device gives no indication of any resource being used by service providers, so they can still double book rooms. Most of our spots are booked on mobile devices so this doesn't help us at all.
Krista - Resource Management is in the new version of the apps that we are waiting to be released. They are going through approval process with Apple and Android right now. All new features always come out on the web version first and then we can add them to the apps afterwards.

I'd like to see a way to limit the times a resource is available.... eg the resource is only available in the mornings or only twice a week. So bookings using that resource are confined to selected time slots. (Real world example, My downtown Room is only available Tues 9.30 - 1.30 & Thurs 9.30-1.30. I'd like to make it so that people trying to book into those time slots know which location to attend)

is there a way to add a resource room and make it act like an employee? So it can have its own available times and spot on calendar?
Hi Denise. You can absolutely do this. Once you get to the Employee Profiles page in Settings, select Add New Employee to get started. From here, you can create the item.
Is there a way to default an employee to a resource? ie. I have 2 employees sharing my #2 massage room. I would like them to default to that room instead of mine. Also is there a way to see the availability of a resource on the calendar? ie. when the room is empty/available
Hi Anna. I'm going to send a feature request to our development team for a resource to default to an employee. Currently, the way it's designed is you assign resources to specific services.
To answer your second question, the software recognizes when a room has been booked and automatically defaults to the next available resource.
As far as seeing the availability, I'd advise using the Print Daily Plan tool. This allows you to print the schedule for the day and shows you if a resource has been assigned to that service or appointment. To access this feature, follow these steps:
That sounds like a great option for day of but I have 3 massage therapists sharing the same room. It is not easy to see if the room is available a week from now by printing out the daily log.

I would really appreciate a way to see which resource is assigned to appointments on the Calendar screen. It would be much easier than printing out the Daily Plan. Just seeing the resource listed after the service in the appointment box would be super helpful to front desk personnel.

I have two women who rent rooms, the other three in my space rent tables. some appointment types have cross over. However, there isn't a way to specify resources to people. Meaning, If an employee and I have the same service type, it might give my private room to her, because we both perform the same service. Even though she doesn't have an available bed. Being able to assign a person to a resource or multiple resources, ideally, would fix this problem.

I really need to be able to add a specific room to an employee as well. So resources set by employee.

I see a number of New Feature Requests that sound like what you're looking for, but they're in the "Gathering Feedback" stage and I can't predict when/if it might be implemented.
Where is Vagaro on this request? It seems that allowing a "resource" to have a specific schedule is all that is being asked. Setting up a "resource" as an employee does not meet the needs of a "resource" since the resource is needed specifically for a service or class type. Please advise if there is an ETA for this feature. Based on comments above, this feature was requested 9 years ago. Really?!
