You can change the default settings for your calendar to control how it looks and functions, such as setting a default calendar view, changing the order of service providers, and switching between 12-hour or 24-hour views.
Changing your calendar settings will update all the devices you have logged into your business. However, users on the Vagaro Pro app can set a personalized Week View Starting Day or Default View at Login when they select the Menu button in the top-right corner of the Calendar and then select the Settings button.
Prerequisites: This feature is available for all Vagaro businesses.
The Default View at Login setting allows you to choose the calendar view (Day, Week, Month, or Agenda) displayed when logging in to your business.
To configure this setting:
The Week View Starting Day setting allows you to choose the day of the week that displays first in the Week view. For example, if your business is closed on Monday, you can set the calendar to start on Tuesday.
To configure this setting:
The Service Provider Max Limit in the Day View setting allows you to choose the maximum number of service provider calendars that can be displayed on your calendar once. This setting only applies to the Day view of your Calendar.
Important
This setting is unique per device type, meaning you can set a different limit for computers, tablets, or phones. For example, let's say you set the limit to ten on a computer. This setting will sync across all computers logged in to your business, but not phones or tablets.
To configure this setting:
-
Go to Calendar Configuration:
-
On the Phone: Go to → → .
-
On the Web, Tablet, or Pay Desk: Go to → .
-
-
For Service Provider Max Limit in Day View, enter the maximum number of providers. The number you can enter differs based on your device:
-
On a phone, up to seven service providers can be displayed.
-
On a tablet, up to 15 service providers can be displayed.
-
On a computer, up to 25 service providers can be displayed.
-
-
Select Save.
The settings below allow you to customize how appointments appear on the calendar, the spacing between timeslots on the calendar, and more.
To configure these settings:
-
Go to Calendar Configuration:
-
On the Phone: Go to → → .
-
On the Web, Tablet, or Pay Desk: Go to → .
-
-
Change your settings:
-
Calendar resolution: Your calendar's time interval increments. The choices are 5, 10, or 15 minutes.
-
Calendar Line Spacing: The amount of space between timeslots on the calendar.
-
Show Current Time: Whether to show a red line on the calendar marking the current time.
-
Display Resource on Calendar: Whether to show the name of any resources assign to a class or appointment on the calendar.
-
Label All Calendar Lines: Whether to display a line for all time intervals on the calendar.
-
-
Select Save.
The Service Provider Order on Calendar setting allows you to change the order of providers in the bottom-left corner (on the web and tablet) or in the Calendar Menu (on a phone).
To configure this setting:
With the 24 hrs button on the Calendar, you can switch between a 12-hour and 24-hour view. If the 24 hrs toggle is off, your calendar will only display your working hours in a 12-hour time format. If there is a Personal Time Off or an Appointment outside of working hours, the calendar will display in 24-hour time format to prevent any hidden events.
To configure this setting:
-
Vagaro Pro App: At the top of the Calendar screen, select the Menu button , and then in the Calendar Navigation panel, select 24 hrs.
-
On the Web: In the top-right corner, under your profile icon, select 24 hrs.

Is there a way to automatically block off federal holidays or at the very least a way to block off a single specific day for everyone instead of having to do it for each service provider?
My version has switched the time stamps to 8:10, 8:25, 8:40, 8:55. How do I switch it back to on the hour? It used to be 8:00, 8:15, 8:30, 8:45
Two questions for you, Oana:
Hi, Erica. There is currently isn't a feature that allows you to prioritize one service over another. Feel free to create a feature request
However, we will be releasing a new feature this summer that will allow you to schedule services to be performed only during specific times of the day that you set up. Keep an eye on our Updates and Announcements page for details!
Is there a way to only allow certain appointments over others? For example, this week I have 2 spots left open. I want to schedule facials over massages. Is there a way to only allow facials to be booked?
Hi, Brittany. This feature currently does not exist. Feel free to visit our Feature Requests page to upvote it and suggest any other ideas you have to improve Vagaro. https://feedback.vagaro.com/forums/915991-feature-requests
Hi Becky,
You can limit how far in advance your customers can book through the Online Appointment Rules. You can set this limit to 60 days so customers can only book within that 60-day period. This would affect all your employees, and currently, we don't have the option to limit booking for just one employee.
Thank you,
Jamie
How do I make a 60 day filing calendar? I’d like to only have 8 weeks of my schedule open at a time. Is it possible to do this for just myself in a 4 person salon? Thanks.
Hi Nate, I'm going to create a ticket for you. A support representative should be contact you soon.
Thanks,
Jamie
There is little black text covering all of my appointments on the Calendar this has never happened before wish I could share a picture to show the problem
On June 10th and June 2nd, personal tasks begin @8:45 am. When I look at your calendar on my Android phone, the week of June 12 doesn't show as a 24-hour day, while the two previous weeks do. I can't explain them all, but those two, at least, seem clear. Sorry, but I'm at the limit of what I can figure out on this. Please contact our Support team for more help.
Yes. That's the version I have. The personal tasks do not go past 8pm. Start at 9am. Nothing earlier than 9am, or later than 8pm. So I'm not sure
the 24 hour toggle doesn't do anything on the android app. app is up to date
on the computer works, but i never use my computer :(
Hi Kevin... I just checked my Android phone and had to update the app to v 5.4.1 from Google Play. Since we have different regions, an update doesn't always go out to all at the same time. See if your app is the most current and check Google Play to see if there's an update.

24 hours toggle is not available to Android Vagaro Pro app as of April 28, 2022. Can you update that?
When Two employees are sharing a room but providing different services, how can i make it so that we are not booked for the same time?
Hi Eileen,
If you are using Vagaro on a Computer, it will only show you the hours that pertain to your Business. If you are using Vagaro on a Mobile Device, it will always show you the full 24 hours. This is something we are looking into adjusting in the future, so keep an eye out for any updates.
Is it possible to limit the opening and closing times on the calendar? We are never open before 9 AM and are never open after 10 PM. Is it possible to limit the time on the calendar so that it does not show as much grey before and after opening and closing (ie. it starts at 7 AM and goes to 10 PM instead of starting at Midnight and going to Midnight)?
Hi Anna. Are you referring to the intervals on the calendar screen in your account or the intervals on the online booking page? You're not able to change the intervals to one-hour increments on the calendar screen, but you can change it online (Settings -> Online Appointment Rules -> Search Appointment Interval).
Hi Nikki. You can use the Personal Task feature to block off time in the day and set recurring options, allowing you to repeat it daily, weekly, monthly, or yearly. Here's a link to the article: https://support.vagaro.com/hc/en-us/articles/360010603213-Personal-Task-How-to-Book-a-Personal-Task-in-Vagaro-On-the-Web-Version-
How do adjust the calendar to show that a business is closed on a certain day?
Hi Laura,
In this situation we would recommend adding your shared room as a Resource to your Service Class Menu. Then if you assign that Resource to all of your Services, the software will not allow you to both be booked at the same time because it recognizes there is only one room.
I hope this helps!
