The Calendar Configuration feature allows you to change the appearance of and customize your appointment schedule.

You can set the Week View Starting Day, the Default View at Login, the Service Provider Max Limit in Day View, and the Calendar Resolution.

Week View Starting Day - Use this option to choose what day of the week your calendar starts in week view. Example: A business that is closed Monday & Tuesday would prefer to have a calendar that starts Wednesday rather than Monday.

Default View at Login - Use this option to choose your calendar view every time you log into your Vagaro account. You can choose between Day, Week, Month, or Agenda views.

Service Provider Max Limit in Day View - Use this option to set the maximum number of service providers you can see in day view. The default max is 25, but you can set this number lower so that your screen is much less cluttered.

Calendar resolution - Use this option to set the time intervals in minutes on your calendar. The choices are 5, 10, or 15 minutes.

Toggle Display Resource on Calendar ON (green) to display the name of any resource used for this class or appointment.

Track Customer Retention - These badges will display on your calendar with each appointment. They will indicate what kind of appointments your clients are making, and you can keep a record of new and returning clients. (This includes RR, NNR, NR, and RNR). For more on customer retention, see How to Track Customer Retention.
Choices on the drop-down menu are to display for all customers or just for new customers.

You can change the Service Provider Order on the Calendar by tapping the three lines to the left of the services provider's name and dragging to new positions on the list.

Tap Save to finish.

You can adjust the Calendar Line Spacing. This is the amount of space between time slots on your calendar. Use the slider to adjust the spacing.

The 24 hrs toggle menu will change the calendar configuration and display calendar timings for the entire day. If the 24 hrs toggle is off, your calendar will only display your working hours. If there is a Personal Time Off or an Appointment outside of working hours, the calendar will display 24 hrs to prevent any hidden events.

How do adjust the calendar to show that a business is closed on a certain day?
Hi Nikki. You can use the Personal Task feature to block off time in the day and set recurring options, allowing you to repeat it daily, weekly, monthly, or yearly. My version has switched the time stamps to 8:10, 8:25, 8:40, 8:55. How do I switch it back to on the hour? It used to be 8:00, 8:15, 8:30, 8:45
Hi Anna. Are you referring to the intervals on the calendar screen in your account or the intervals on the online booking page? You're not able to change the intervals to one-hour increments on the calendar screen, but you can change it online (Settings -> Online Appointment Rules -> Search Appointment Interval).
Is it possible to limit the opening and closing times on the calendar? We are never open before 9 AM and are never open after 10 PM. Is it possible to limit the time on the calendar so that it does not show as much grey before and after opening and closing (ie. it starts at 7 AM and goes to 10 PM instead of starting at Midnight and going to Midnight)?
Hi Eileen,
If you are using Vagaro on a Computer, it will only show you the hours that pertain to your Business. If you are using Vagaro on a Mobile Device, it will always show you the full 24 hours. This is something we are looking into adjusting in the future, so keep an eye out for any updates.
When Two employees are sharing a room but providing different services, how can i make it so that we are not booked for the same time?
Hi Laura,
In this situation we would recommend adding your shared room as a Resource to your Service Class Menu. Then if you assign that Resource to all of your Services, the software will not allow you to both be booked at the same time because it recognizes there is only one room.

24 hours toggle is not available to Android Vagaro Pro app as of April 28, 2022. Can you update that?
Hi Kevin... I just checked my Android phone and had to update the app to v 5.4.1 from Google Play. Since we have different regions, an update doesn't always go out to all at the same time. See if your app is the most current and check Google Play to see if there's an update.

Two questions for you, Oana:
Yes. That's the version I have. The personal tasks do not go past 8pm. Start at 9am. Nothing earlier than 9am, or later than 8pm. So I'm not sure
On June 10th and June 2nd, personal tasks begin @8:45 am. When I look at your calendar on my Android phone, the week of June 12 doesn't show as a 24-hour day, while the two previous weeks do. I can't explain them all, but those two, at least, seem clear. Sorry, but I'm at the limit of what I can figure out on this. Please contact our Support team for more help.
There is little black text covering all of my appointments on the Calendar this has never happened before wish I could share a picture to show the problem

How do I make a 60 day filing calendar? I’d like to only have 8 weeks of my schedule open at a time. Is it possible to do this for just myself in a 4 person salon? Thanks.
Hi Becky,
You can limit how far in advance your customers can book through the Online Appointment Rules. You can set this limit to 60 days so customers can only book within that 60-day period. This would affect all your employees, and currently, we don't have the option to limit booking for just one employee.
