After you've added some services and classes to your menu, they need to be added to assigned to the employees so customers can book with appointments with them. You can keep the original prices and duration you set up in your menu, or set up different prices to charge more or less to book with those employees. Any changes you make to an employee's services or classes will not affect your business's main service and class menu.
As you update your service and class menu, you may also need to change the employee assigned to your services and classes. Depending on how you update their offerings, you can allow providers to perform the same service or teach the same class but for a different price, different duration, and points earned or required to redeem.
Prerequisites: This feature is available for all Vagaro businesses, and you must already have at least one service or class set up.
Adding or updating the services or classes in an employee's profile is specific to that service provider but does not affect what has already been set up in the Service/Class Menu screen.
To select the services and classes that an employee will provide or teach:
-
Go to
→ → → . -
Select Employees to view the employee list.
-
Select the employee's profile.
-
In the employee's profile, under Locations, select the Action menu, then select Services.
Note
If the employee works for multiple locations, select the Action menu for the location to add services or classes for.
-
Select Services or Classes to view either the service or class menu.
-
For each service or class you want the employee to perform, select it, then select Enable For (Employee Name)
Note
Any services the employee doesn't perform are grayed out.
-
Optionally, select a service or class, then select Edit to update its Price (classes only) and Duration for that employee.
-
Optionally, for the employee's services, select Add Gap Time to add or update a service's gap times:
-
Initial Duration: The duration of the first part of the service before gap time starts.
-
Gap (Processing): The amount of gap time available to take another appointment.
-
Finish Duration: The duration of the second part of the service.
-
-
Update any other details for the employee's service or class.
-
Select Save.
To select the services and classes that an employee will provide or teach:
-
Go to
→ → . -
At the end of the row of the employee's profile, select the Action menu, then select Services.
Note
If the employee works for multiple locations, select the Action menu for the location to add services or classes for.
-
Select the checkboxes for the Services and Classes that the employee will perform or teach.
-
Update the Price (classes only), Duration, of the employee's services and classes.
-
Optionally, for the employee's services, select Advanced to add or update a service's gap times:

-
Gap (Processing): The amount of gap time available to take another appointment.
-
Finish Duration: The duration of the second part of the service.
-
-
Update any other details for the employee's service or class.
-
Select Save.
Businesses can also set different prices for their service providers who offer the same services in the Service and Class Menu. Looking at your prices in this screen lets you see what all of your employees are charging, service duration, and points given or needed to redeem. Class prices remain for all employees.
Note
On a phone, employees can only be assigned by updating their profile.
To assign employees by updating your service or class menu:
-
Go to
→ → . -
At the top of the screen, select the Services or Classes tab.
-
In the side menu, select the service or class to update.
-
Scroll down to the list of employees who perform the service or class.
-
Toggle which employees are assigned and update their prices, duration, points given, and points needed to redeem.
Note
If you cannot edit a price but see a column for Price (with Tax), go to the Taxes & Checkout screen to see if Include Tax in Online Pricing has been switched on.
-
Select Save.

The above instructions don't allow me to see how this point/redeem setup works for the client, therefore I can't figure out how to set this up (for me), even though you have showed the generic setup. To help those of us who are new, please first show a specific, real-world application (without using jargon), then show how-to-setup-that-scenario so that we can make the connection between the real-world example and the setup jargon. The other videos that you've done that really work for me, already do that. For example, what would the setup look like if my clients get a free session after paying for ten?
I am trying to use points to buy a gift voucher can you please explain how you do this. I am still on my trial and the only reason I am moving to this program is that I need to use loyalty points. I just cannot work out how to pay for a gift voucher after a whole afternoon. Thanks
Hello Sandra,
The point system does not tie directly into the gift certificates function. However, you are able to adjust accordingly to what you want, but you will be doing it manually. There are going to be two parts to my answer.
1) To create a gift certificate without charging a client, you need to go to Reports - Gift Certificates. From there you will create a gift certificate, complete with the amount you are putting on it, the sender/receiver, etc. Once you have completed this, there will be a gift certificate on file for the client that can be used.
2) To adjust the points after you account for anything manually (including creating a gift certificate), you will need to go to Customers - Customer Management and select the client profile in question. From there, you will have a Data column and in there is Points Balance. Next to the points balance there will be an underlined Edit text line, click on it to adjust points accordingly. If you are doing this from the app, go to Customers, select the person, and then select Edit at the top right. You will have an option for Points Balance there as well.
