Here is the process Vagaro suggests when tracking Groupons / Living Social / GILT promotions on Vagaro:
1. First, create a gift certificate for the total amount of the promotion. Go to Reports --- Gift Certificates --- Management. If you collected $5,000, create a gift certificate called something like "March Groupon" and make it for "$5,000". Since you are entering it in the Management screen, it will not show you received money for the Gift Certificate on your General Reports.
2. Now you want to add a service to your menu for this promotion, so when people book, you know it they plan to pay with their voucher. Click on Settings --- Service Menu create a new service like "Groupon Massage"; make sure the price of this service matches the price they paid for the promotion. In the details box, tell people to enter in the Groupon / Living Social voucher number in the comments field.
3. Once a customer has completed their service, click on the appointment and select Service Complete (Checkout). To apply the Gift Certificate you created in Step 1, click on the Gift Certificate link on the right, type in "March Groupon" and it will take off the amount for that service. If the person is a No Show or Cancels, you can still charge them the full amount of the service because you have their voucher number in the comments field and they forfeit that Promotion which is normally allowed under their terms and conditions when you setup the promotion.
4. Payroll for your employees - Now when you run payroll, it doesn't show the service provider did it for free, rather it shows the dollar amount charged and bases their payroll on that number.
