A workshop within Vagaro is a collection of classes that your customers must complete. Customers can learn new skills, attend lessons, and more within a multi-session program. Once you've created a workshop on your Service/Class menu and scheduled it on the calendar, you can manage your workshops on your Calendar.
This feature is available for all businesses.
This article covers how to manage a workshop on the Calendar. If you want to schedule a workshop, please see the following articles.
After scheduling a workshop on the Calendar, you can add participants.

Navigate to the Calendar, then select a scheduled Workshop.

Select Add Attendees on the Appointment Options menu.
If the workshop has in-house and live-streaming options, you will need to select either Live Steam or In House. Otherwise, the customer list will open for you to choose attendees.

Select customers from your customer list. Tap Next after selecting your new attendees.

After adding attendees, you can review customer enrollment and add a card on file.

Tap Add Attendee(s) to add the selected participants to the workshop.

Tap Add Attendee(s) & Checkout if you're ready to collect payment for your new attendees.

After you've added attendees, you'll see the number (in-house and live stream) with the workshop.

Navigate to the Calendar, then select a scheduled Workshop.

Select Add Attendees on the Appointment Options menu.

Select customers (click the checkbox) from your customer list. Click Next after selecting your new attendees.

Click Add Attendee(s) and Checkout if you're ready to collect payment for each customer.

After you've added attendees, you'll see the number (in-house and live stream) with the workshop.
If you need to make a change to a scheduled Workshop, you can modify the details from your Calendar.

Navigate to the Calendar, then select a scheduled Workshop.

Select Edit on the Appointment Options menu.

Make changes to your workshop.
Note
You cannot change the workshop's name or change how often the workshop Repeats.

Tap Save to finish.

When your customers are ready for their Workshop, you can check in customers from the Calendar.

Navigate to the Calendar, then select a scheduled Workshop.

Select Check-In on the Appointment Options menu.

Check in customers for their Workshop.

You can individually check in customers by selecting Check-In next to the customer's profile, or you can tap Check-In All.

Keep in mind that a $ icon by a profile's image means they've paid for the session, and a D indicates they've paid for the deposit.

You can also mark participants as No-Show if they are unable to attend this session.

Tap Continue to Checkout to finalize.
This will navigate you to the Checkout screen, where you can check out your customers for their workshop session.

Navigate to the Calendar, then select a scheduled Workshop.

Select Check-In All to check in all the customers for the session.

You can individually check in customers by selecting Check-In next to the customer's profile, or you can tap Check-In All.

Keep in mind that a $ icon by a profile's image means they've paid for the session, and a D indicates they've paid for the deposit.

Click Apply to finalize and check out attendees.
This will navigate you to the Checkout screen where you can check out your customers.
When you've completed your workshop with your customers, you can then check out those customers for the Workshop.

When all attendees have been checked in and checked out, select the Workshop on the Calendar.

Select Checkout.

Confirm that you want to complete the workshop by selecting Mark as Checked Out.

If you need to notify customers you're ready, cancel, or remove your workshop, you can do this directly from the Calendar screen.
Tap a workshop scheduled on the Calendar, then tap Change Status to change the status of a workshop.
When Deleting or Cancelling a Workshop
If any attendees have paid, you can choose to issue a refund. Tap Refund to navigate to the Prepaid Attendee List.
On the Prepaid Attendee List screen, select Refund from the Action menu. Set up the refund, enter a reason, and choose to email or print a receipt for the customer. Tap Refund to finalize changes.
Click the workshop scheduled on the Calendar, click Change Status, and select a status.
When Deleting or Cancelling a Workshop
If any attendees have paid, you can choose to issue a refund. Click Refund to navigate to the Prepaid Attendee List.
On the Prepaid Attendee List screen, select Refund from the Action menu. Set up the refund, enter a reason, and choose to email or print a receipt for the customer. Click Refund.
